Compensation Range: $24.11/hour to $30.28/hour, based on experience

Essential Functions:



  • Independently administer a program management software system to prioritize and manage project flow for the women's ministries department
  • Provide a system of prioritization to manage project flow
  • Prepare and disperse reports, printed materials or other forms of documentation and communication
  • Create, edit, compile and process routine resource materials for the Women's Ministries department, such as the national Women's Ministries resources, including communication with the divisions
  • Participate in the planning of the Territorial Women's Conference ensuring the Hispanic demographic is represented in planning, promoting and programming
  • Manage administrative tasks for the Territorial Women's Conference including creation of leaders' brief, management of completion dates, management of expenses billing from department budget, and calendar invites for all planning meetings and record those on Microsoft Teams
  • Be proficient in TSAMM (training will be provided); manage and track all TSAMM submissions, including those for the Territorial Women's Conference
  • Manage and complete reports including International Women's Report, International Self Denial World Services Report, Territorial Composite Report, International Statistics Report, and Women's Ministries 12-month report
  • Maintain flow of communication through mail, reports, phone, email, Microsoft Teams, and fax methods, and manage all communications through the Women's Ministries email box
  • Coordinate and schedule calendar meetings for the Territorial Women's Ministries Secretary and respond to emails over her signature as directed
  • Know and understand the process and flow of information for the Territorial Leader for Leader Development, Assistant Territorial Secretary for Program, Territorial Women's Ministries Secretary, and between divisions, territorial, national, and international headquarters
  • Maintain and regularly update all records, email lists, documentation, and written work on the appropriate computer backup, with hard copies as directed
  • Maintain the anniversary, birthday and graduation lists and cards for officers' and officers' children, and the Divisional Secretary for Program/Divisional Women's Ministries Secretaries, and prepare cards accordingly
  • Provide administrative support including recording and transcribing meeting notes/minutes, processing communications and documentation, preparing Trade Central and other supplier orders, ordering and maintaining office supplies, processing financial reimbursements and invoices, managing department and inter-department Christmas cards
  • Be trained and proficient in Corps Management System usage (training provided); provide or request membership reports as needed; serve as support to the field when general questions arise
  • Attend and participate in the visit to the College for Officer's Training for teaching women's ministries


Education and Certification



  • High School diploma or GED
  • Some college level courses preferred


Knowledge, Skills, and Abilities:



  • Knowledge of and ability to run a program management software program for the women's ministries department
  • Ability to use desktop/laptop computer including mastery of Microsoft Outlook, Excel, Word, Presentations, Canva, Publisher, TSAMM (training provided), CMS, Teams, Zoom, Survey Monkey, internet research, with the ability to become proficient with additional programs
  • Ability to multitask, plan, organize, prioritize work, and work well under the pressure of deadlines and limited supervision
  • Ability to organize work time efficiently among a variety of duties
  • Ability to compose and type correspondence in an appropriate and timely manner
  • Ability to communicate clearly and respectfully with officers and employees in various departments on behalf of the Women's Ministries Department
  • Flexibility to undertake a variety of assignments
  • Regular and timely attendance


Travel:

Occasional travel will be required to camps, rally days, mini-institutes, retreats, and conferences at divisional/ territorial/ national events. On average, overnight travel will be four times a year and day travel will be four times a year.
