Essential Job Duties
The position provides direct and unique programmatic support for the department's graduate programs. The programs include multiple disciplines with unique requirements that cross departments within the College of Sciences and may involve other colleges at NC State. The position is the primary and first point of contact for student and faculty questions on all program policies, procedures, and activities, including Graduate Student Support Plan ( GSSP) eligibility and applications. This position serves as a resource for graduate students and faculty, is the primary point of contact with the Graduate School, and manages all temporary personnel involved with the Graduate programs.

The position processes admissions applications in Slate, makes recommendations, and updates department and university databases with application and admission information. The position organizes student contracts, plans of work, committee constitution (including determination of the type of committee member based on affiliation and relationship to the student, course of study, and the university), and examination performance. The position maintains files for all students and monitors the student's progress toward degree completion at multiple intervals, ensuring all necessary paperwork is completed by students and faculty in a timely fashion.

The position monitors the flow of appointments and works with students and Principal Investigators(PI) to ensure all items are completed and approved within NextGen. This requires specific coordination with the PI and the College Research Office to ensure eligibility and correct compensation per the guidelines of the grant and the PI. The position maintains spreadsheets of Teaching Assistantships (TA) and Research Assistantships (RA) assignments, working closely and collaborating with PIs, the Business Manager, the College Research Office, and the Director of Graduate Programs to ensure students are funded from the correct funding sources, with funding sources changing frequently, this requiring constant monitoring, follow-up, and adjustments in NextGen and our salary distribution system.
The position is responsible for independently coordinating graduate recruitment weekends, making all space arrangements, including arrangements for meals, lodging, and transportation, and providing necessary information for travel reimbursement. The position is responsible for the TA orientations in the Fall and Spring, providing frameworks for professional track and tenure faculty and making arrangements for break service, space, and presenting information to the incoming graduate students. The position serves as the primary point of contact for prospective students from recruitment through enrollment, answering logistical questions and referring students to the appropriate campus resources.
The position is a primary resource to the Directors of Graduate Programs, the departmental Business Manager, Accounting Technicians, and grant PIs in all aspects of the policies of graduate programs and information.
Other Responsibilities
Assist with departmental graduations and special events. As well as other duties as assigned by the supervisor.
Qualifications


Minimum Experience/Education
Bachelor's degree; or an equivalent combination of training and experience.

All degrees must be received from appropriately accredited institutions.

Preferred Qualifications

  • Experience working with graduate programs, preferably in an academic department.
  • Experience with NC State Student Information Systems (SIS), Slate, NextGen, PeopleSoft Financials and HR, MS Office, Google Apps/Calendar/Sheets/Gmail
  • Experience with FileMaker Pro or other database systems
