Job Description:

The Receptionist is the primary operator of the multi-line switchboard at Veit's New Berlin, WI office and will answer and direct calls to the appropriate person or department, distribute mail, and coordinate the delivery of packages. The Receptionist is also responsible for greeting visitors and helping them to feel comfortable. This position is located at Veit's office in New Berlin, WI.

A Day in the Life

  • Front Desk Support 30%

    • Answers incoming calls, forwards calls, takes messages, and notifies appropriate personnel when visitors arrive.

    • Accepts deliveries and disperses incoming packages from Fed-Ex, UPS, and couriers.

    • Opens, sorts, and disperses incoming mail to appropriate personnel or department.

    • Prepares and meters outgoing mail and packages and ensures postage meter has sufficient funds. Maintains postage log for the various companies of Veit.

    • Maintains phone lists, including office and field employee company-provided telephone, cell phone, and phone extensions.

    • Orders office supplies and manages inventory. Keeps office supply storage area clean, organized, and stocked appropriately.

    New Berlin Office Support - 20%

    • Organizes, maintains, and keeps clean and orderly the employee break area and kitchen.

    • Works with supervisor and other leaders for coordination and scheduling of employee and customer engagement activities and events.

    • Works with appropriate personnel to add/remove names on office doors.

    • Assists with maintenance of office equipment, copier, postage meter, etc. Places service calls when necessary.

    • Orders forms for Office and Field and manages inventory of these forms.

    • Assists with scheduling of meeting rooms and events at the New Berlin office.

    • Coordinates with facilities maintenance on maintenance needs of the New Berlin office/shops.

    • Works with IT on technology requests and HelpDesk claims for the New Berlin office.

    HR Support - 50%

    • Assists when needed with updating employee data changes into HRIS system including but not limited to new hire information, direct deposits, W-4 changes, address changes, emergency contact information, etc.

    • Schedules and coordinates pre-employment drug tests and background verification through Workday and HireRight.

    • Partners with Safety Coordinator regarding pre-employment screening when necessary.

    • Serves as a point of contact for New Berlin new hires, addressing their questions and concerns throughout the onboarding process and after.

    • Facilitates the completion of new hire paperwork and other necessary documentation.

    • Serves as an Events committee member and liaison for the New Berlin staff/location.

    • Assists Payroll by completing certified payroll reporting on a weekly basis.

    • Participates in HR projects as needed.

    • Maintain confidentiality in all areas of operation.

    • Coordinate floral orders/cards for funerals, employee milestones, etc.

    • Responsible for ensuring that labor law postings are current at office and shop locations.

    • Other projects or duties as assigned by management.

    • Keeps supervisor informed of known actions, written or verbal, which may affect the ability to successfully perform assignments or adversely affect company operations.

What You'll Need

  • High School Degree or general education degree (GED); one year of related experience and/or training; or equivalent combination of education and experience.

  • Must have strong customer service skills including an energized, positive people-first approach.

  • Knowledge of Microsoft Office Suite.

  • Excellent oral and written communication skills including the ability to effectively communicate instructions to internal and external customers.

  • Ability to speak effectively before groups as well as individuals.

  • Excellent organizational skills.

  • Ability to be self-directed and seek out information to keep projects or processes on track.

  • Ability to maintain compliance with all company policies and procedures.

  • Ability to function in a fast-paced environment with minimal supervision.

  • Ability to meet deadlines while maintaining a positive attitude.

Other

  • Must be able to work 8-hour workdays, Monday through Friday with shift ending at 4:30pm.

  • Must be able to pass a pre-employment background screening.

  • This position is based on site in New Berlin, WI. Telecommuting is not available.
