Travel time and milage is paid!*** *Professional Summary* The Office Assistant serves as the welcoming face of the office, providing exceptional support to visitors, examinees, and medical professionals alike. With strong organizational skills and a commitment to professionalism, the assistant ensures seamless communication, efficient scheduling, and the proper flow of examinations in a dynamic clinical environment. *Key Responsibilities* * Greet all visitors and examinees warmly, directing them to appropriate locations or resources. * Answer incoming telephone calls professionally, screen callers by name and purpose, and route calls efficiently. * Verify and update examinee information by reviewing charts, including file numbers, case types, and appointment details. * Distribute required paperwork to examinees, ensuring proper placement within charts. * Escort examinees to examination rooms, vitals areas, and/or x-ray rooms as needed. * Serve as a chaperone during examinations involving female examinees or as requested by the physician. * Maintain a smooth flow of scheduled appointments, helping to ensure examinations remain on time. * Perform clerical tasks such as typing, filing, emailing, and proofreading documents. * Oversee the cleanliness of the lobby and promptly report maintenance concerns to management. * Promote effective utilization of clinical resources and supplies to enhance operational efficiency. *Qualifications* * High school diploma or equivalent required; college graduates are welcome. * Minimum of 6 months in an office or related field preferred. * Proficiency in general computer usage, including fax, copier, scanner, and telephone. * Strong familiarity with software programs such as Microsoft Word, Excel, and internet browsers. * Valid state Driver's License and access to reliable transportation. The primary location for this opening is in Everett, but will require occasional travel to other locations (Milage and travel time is paid!).
