Position Summary
Purpose :
This position is the primary secretarial and administrative support position for the office of Academic Affairs and its operations and assists with all of the activities flowing through the office. As such, this position:

  1. Is responsible for the efficient operation of the office and performs secretarial, clerical and administrative duties under the general supervision of the Assistant Vice President of Academic Affairs (ASVP-AA). Enables the ASVP-AA and their reports to increase their efficiency and effectiveness.
  2. Develops and facilitates effective and productive working relationships with and among various persons involved in the departments' operations (faculty, staff, vendors); serving as a bridge or link between the various persons and organizations and work groups/departments involved in the division's activities and operations.
  3. Provides clerical and secretarial support to the ASVP-AA
  4. Maintains accurate and current information, files, etc.
  5. Provides accurate, clear communication both orally and in written form.


Scope :
This employee must be able to work in a high stress environment and must be able to handle multiple priorities. This position is part of the ASVP-AA's team and must be able to work together with other employees to assist the office and division fulfill its mission.
Dimension :
Given the nature of Academic Affairs, this position functions independently most of the time and is expected to exercise good judgment on issues, questions and problems that arise.

  1. Maintaining general office operations.
  2. Processing purchase requests and the monitoring of inventory and expenditures.
  3. Planning and facilitating events and meetings; making travel arrangements.
  4. Collecting, transcribing, storing, retrieving and integrating information for dissemination to staff and others.
  5. Creating, maintaining and monitoring electronic databases (such as databases which track strategic planning objectives and articulation agreements) and other electronic and hard-copy filing systems.
  6. Integrating new technology, resources, policies and procedures as required.
  7. Provides superior customer service and creates a positive impression and image of the College and the divisions.
  8. Assertively facilitating the timely and successful execution of various processes. In particular, this position supports ongoing operations and initiatives under the supervision of the ASVP-AA.

Supervisory Responsibility:
As a work group leader, this position coordinates the daily operations of Academic Affairs and may provide direction of student employees or temporary support staff. This position is responsible for correctly guiding customers to the appropriate source of information and for reporting problems to ASVP-AA.
Minimum Requirements

  1. Associate's degree or Equivalent Experience.
  2. Two (2) years of academic or administrative support experience.
  3. Ability to appropriately use and demonstrate basic proficiency with standard office productivity software and tools, including Microsoft Word and Excel.
  4. Demonstrated ability to efficiently organize and manage large amounts of information and files; attention to detail; well organized.
  5. Strong follow-through and follow-up skills; must be tactfully and diplomatically assertive.
  6. Demonstrated time management and priority setting skills, including the ability to handle multiple tasks and projects simultaneously; develops specific goals and plans to prioritize, organize, and accomplish work.
  7. Demonstrated work history of providing high quality, strong customer-oriented services including a problem solving orientation; strong listening skills; ability to understand customer's needs; meeting the customer's needs.
  8. Excellent judgment skills in terms of interpersonal communications; ability to determine the appropriate approach and then employ a wide diversity of interpersonal strategies that results in timely action by others not under this person's supervision; must be flexible and adapt to variety of work situations and personalities.
  9. Ability and experience to project a positive and enthusiastic image for the employer.
  10. Strong verbal and written communication skills; ability to speak clearly and communicate proficiently in English; ability to communicate effectively with staff, faculty, students, and the general public.
  11. Demonstrated history of coordinating work effort with others and working effectively with others and in a team setting.
  12. Motivated by desire to do excellent work and help others; actively looks for ways to help people.
  13. Ability to work successfully in an environment without detailed direction; self motivated.
  14. Ability to work with accuracy.
  15. Ability to maintain confidentiality on all information regarding student records, faculty and student communications and personnel matters.
  16. Regular attendance and punctuality.
  17. Willing to take accountability for and ownership of work, job and office operations; dependable and reliable.


Additional Desirable Qualifications

  1. Bachelor's Degree
  2. Related work experience beyond the minimum.
  3. Experience working in a higher educational setting.
  4. Two years experience in customer service. This can be concurrent with previous work experience.
  5. Proficiency at the intermediate level in Microsoft Word and Excel.


Physical Requirements/Working Conditions

  1. Must be able to remain in a stationary position 50% of the time.
  2. The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc.
  3. Constantly operates a computer and other office productivity machinery such as a calculator, copy machine, and computer printer.


Work Schedule
Full-time, regular position. Non-exempt for purposes of FLSA. Position requires ability and willingness to work varying hours, including evenings and weekends.
