Under the supervision of the Director of Workforce Solutions, coordinates the delivery of leading-edge training programs to a wide range of business and industry partners. In this role the individual is responsible to facilitate the training contract delivery process including but not limited to registration, instructional materials, onboarding, offboarding of instructors, students and employers, evaluations, certificates and customer follow up. Work is generally varied using established procedures requiring judgment and the making of minor decisions. Supervision received is general in nature where standard practices enables employees to perform independently referring to unusual situations to the supervisor for a decision or advice.

Characteristic Duties and Responsibilities

- Cross-Functional Partnerships and Communication:Collaborate with MATC instructors and employers by overseeing students' records, attendance; grades; schedules; registration; contracts; budgets; billing; purchasing; and marketing materials. Aid employers, instructors and staff to accomplish the goals of Contract Training, Grant projects and Continuing Education training classes.
- Operational & Faculty Support: Assist with instructor onboarding; off boarding of Workforce Solutions training assignment to provide information on assignment, college resources and processes. Responsible for the onboarding; off boarding of training contracts with employers or Community Based Organization. This responsibility will require the individual to have reliable transportation to travel to the employer and Community Based Organizations to facilitate essential activities for onboarding; off boarding. The activities consist of but not limited to delivering training materials, text books, training manuals, onboarding forms, registration and other training related instructional materials. Facilitating the registration process onsite in person on the first and last day of training to administer the evaluation process.
- Plan Development & Training: Identify additional training resources needed for execution of on-line contract training. Creates and facilitates Blackboard training; orientation for participants prior to start of on-line training and provides troubleshooting technology issues during the training. Attend and present at staff meetings, training, and workshops as needed. Oversee meeting coordination, ordering and delivery of educational and related materials, print materials, training consumables and supplies as needed and collaborates with team; instructor for problem resolutions.
- Quality Control & Data Management:Maintain appropriate files and reports required for management as well as local, state and federal agencies. Provide quality control for the training contracts and problem solving in the areas of student records, instructor issues and system issues such as final grades and attendance, instructor schedules, registration, withdrawals, renewals, and internet access. Maintain accurate process flows of data, checklists and relevant electronic and paper records ensuring quality and completeness of record management; audit of data entered. Maintain; track contract revenue; expense records for reconciliation and close out of contracts for invoicing and periodic reporting.
- Collaborative Teamwork: Establishes, maintains, and enhances positive work relationships with staff, faculty, administrators, and external agencies including auditors and regulatory agencies.
- Ethics and Confidentiality:Practices honesty by demonstrating a consistent and uncompromising adherence to strong moral and ethical principles, values, truthfulness and accuracy in all actions. Addresses all student and employee behavior in a confidential and respectful manner.
- Continuous Learning & Professional Development: Maintains current knowledge of best practices and standards in higher education with an emphasis on community Colleges. Actively organizes and/or participates in applicable workgroups, trainings, workshops, seminars, committees and professional associations or conferences to promote continuous learning.
- Other duties: Performs other related duties within the scope of the position as required for the efficient operation of the division and to support institutional objectives.

Qualifications
-
Compliance with all state, federal, and accreditation standards/requirements, as well as all MATC policies and procedures. Required Education: Bachelor's degree in Business, Communications, Marketing, Education or a related field.. Required Experience: Two (2) years of work experience in an employment and training program; or any equivalent combination of training and experience which provides the necessary knowledge, skills, and abilities. Preferred Education and Experience: Master's degree in a related field and five (5) years of experience in related activities. Knowledge, Skills & Abilities:
Proven skills managing complex records, assembling and organizing data, and preparing reports from records. Knowledge of trends, issues, and accepted practices relevant to the position. Ability to effectively communicate with a wide range of individuals and constituencies in a diverse community. Excellent attention to detail. Familiarity with relational database systems. Proficient with Microsoft Office including Excel, Word and other reporting software Proficient with Google Workspace including applications like Gmail, Docs, Sheets, Slides and Calendar. Ability to quickly learn new systems and processes. Ability to work with numbers and forms, including accurate data entry skills. Ability to analyze data and create reports as necessary. Able to deal with interruptions and work in a fast-paced office environment. Maintain a high level of confidentiality. Consistently provide a high level of service to students and members of the community. Strong written communication skills; ability to write clear, structured, articulate communications. Excellent organizational skills with an ability to prioritize and manage multiple tasks and a variety of demands. Strong self-motivation and ability to work both independently and as a team member. Demonstrated ability to work effectively with people of diverse backgrounds and promote a positive working environment.
PHYSICAL DEMANDS
Ability to lift up to 30 lbs., carry, and push up to 20 lbs. and ability pull up to 50 lbs. Ability to climb stairs and a ladder and maintain balance. Ability to stoop, kneel, crouch, reach, hear and speak. Sitting/Standing/Walking: 75% of time spent sitting, 20% of time standing, and 5% of time walking.

Start Date: This position supports the Workforce Solutions Department and is available to start on immediately. Hours: This full-time position requires 40 hours per week, scheduled Monday - Friday - Work hours may vary from 8am - 6pm. Modality: Fully 100% in-person. Employees will conduct all work hours in the State of Wisconsin, performing work outside the state is strictly prohibited.

Salary Information Salaries are listed up to the midpoint of the range and placement is determined based on years of experience, internal salary equity, and a review of the applicant's employment and educational background as listed on the job application.
