The Fairfax County Department of Public Safety Communications (DPSC) is the emergency communications center responsible for fielding 9-1-1 calls for the residents and visitors of Fairfax County. We have an opportunity for an Administrative Assistant IV (AA IV) to join our agency providing general administrative support in the assigned functional areas of office administration and human resources.
One of the primary responsibilities of this position will be to manage travel coordination for the agency in accordance with the county's travel policies and procedures. This includes preparation of all local and non-local travel authorization and reimbursements forms, making travel arrangements, and ensuring the traveler's expenses are reimbursed properly. This position will also maintain office supplies from managing inventory to ordering, receiving and stocking supplies. Will review invoices and track expenditures using the appropriate procurement process.
This position will be responsible for the management and coordination of the multi-step screening/hiring process for our Public Safety Communications entry level positions as well as other agency career opportunities. Handles the recruitment process from screening applications to administering tests, maintain spreadsheets, setting up panel interviews, and acting as the primary point of contact for the recruitment processes. Assists the outreach coordinator with job fairs and community outreach activities. Works as part of the overall HR team for DPSC providing backup to the payroll contact, maintaining HR data in FOCUS and will manage recruitment systems and other related agency databases. As a member of the DPSC agency, this position provides critical support to assist with achieving the goals and mission of the agency.
This position provides general administrative support in the assigned functional areas of office administration and human resources.
Salary: The starting salary for this position will not exceed $64,823.20, the midpoint of the advertised salary range. Promotional rules apply for current Fairfax County Government and Fairfax County Public Schools employees.

Interpersonal Abilities Ability to establish and maintain effective working relationships with both external and internal contacts. Purchasing and Accounting Ability to perform data entry into Purchasing/Logistics Enterprise Resource Planning systems and/or Financial Enterprise Resource Planning systems in at least five functions. Personnel and Payroll Ability to perform complex Human Capital Management Enterprise Resource Planning system functions (e.g., establish a position, create a PCF, determine cost center codes, etc.). Executive Assistance Ability to maintain confidentiality and be sensitive to political issues.

MINIMUM QUALIFICATIONS: Any combination of education, experience and training equivalent to high school graduation and three years of experience providing administrative support in the assigned functional area(s). CERTIFICATES AND LICENSES REQUIRED: VCIN - VA Criminal Information Network (Required within 6 months) NECESSARY SPECIAL REQUIREMENTS: The appointee to the position will be required to complete a criminal background check to the satisfaction of the employer. PREFERRED QUALIFICATIONS:
- At least two years of experience managing travel requests.
- Two or more years of professional experience with recruiting and community outreach.
- At least two years of experience performing data entry.
- Excellent interpersonal, oral, and written communication skills.
- Strong organizational and time management skills with ability to multitask.
- Exhibits great attention to detail and accuracy, and experience following and interpreting policies and procedures.
- Ability to be flexible/adapt to shifting priorities with multiple interruptions.
- Proficient in Microsoft Office suite (Word, Excel, Outlook, PowerPoint)
- Two (2) years of experience procuring goods and services for a government organization or performing Accounts Receivable and Accounts Payable work.
- Ability to occasionally work evenings, weekends, holidays.
PHYSICAL REQUIREMENTS:
- Ability to lift up to 30 pounds.
- Ability to travel to various locations in the Northern Virginia Region, attend meeting, trainings and conferences.
- Ability to work a flexible schedule which may include days, nights, weekends and holidays.
- Must be able to lift office supplies, working files, and crouch to service office machines.
- Work requires the ability to sit, stand, escort applicants, and use keyboard for long periods of time.
