ABOUT THE JOB

The DOT Fleet Vehicle Coordinator oversees the completion of International Registrations Plans (IRPs) and apportion-licensed truck renewals for the company. This role involves compiling and reporting traveled mileage and fuel purchased by state. Additionally, the Coordinator facilitates the DOT vehicle purchasing process, including ordering and installing telematics devices and ensuring the proper apportioned licenses are secured.

WHAT YOUR DAY WILL LOOK LIKE




  • Completes all International Registration Plan (IRP)/apportion-licensed truck renewals.
  • Gathers traveled miles and fuel purchased by state by electronic device.
  • Contacts branch offices for any missing miles or documentation.
  • Verifies that the renewal is okay to process.
  • Sends renewed IRP/apportion registration cab cards and stickers to branch offices.
  • Processes yearly mileage-plated truck and trailer renewals.
  • Organizes monthly mileage reports for Oregon and renews all mileage-plated units.
  • Coordinates quarterly mileage reports for Kentucky, New Mexico and New York.
  • Processes International Fuel Tax Agreement (IFTA) tax reports quarterly through the State of Tennessee.
  • Maintains owned asset Title Filings.
  • Assists in sales of DOT regulated units and removal from state registries as needed.
  • May be required to drive a company vehicle.
  • Provides excellent customer service to all internal and external customers.
  • Other work-related duties as assigned by your leader.
  • Reliable and regular attendance is required.
  • Follows all company policies and procedures.



EDUCATION & EXPERIENCE




  • High school diploma or equivalent is required.
  • One to two years of work experience in an office setting is required.
  • Working knowledge of Electronic Logging Devices (ELDs) is highly preferred

SKILLS & QUALIFICATIONS




  • Computer skills including working knowledge of Microsoft Office are required.
  • Automotive and truck shop experience is preferred
  • Service manager or service writer experience preferred
  • Automotive and truck sales experience preferred
  • Experience with International Registration Plan (IRP) renewals and International Fuel Tax Agreement (IFTA) taxes preferred.
  • Ability to read, write and speak in English is required.
  • Communicating in Spanish is a valuable skill at Helena.
  • Valid U.S. driver's license is required to drive a company vehicle.



Successful completion of a drug test and background check is required for all positions at Helena.

The work environment for this position is that of a typical office environment where the noise level is mostly quiet. This position requires you to use your hands for many different tasks and to talk, hear, walk, stand, and sit. You may be occasionally required to lift or move up to 10 pounds.
