The Executive Assistant and Project Manager performs a wide range of duties under the supervision of the Senior VPs. The primary function of this position is to provide administrative support and project facilitation to achieve agency goals and objectives. Through this high-level supportive role, you will provide direct assistance to the Vice President of Patient Access who oversees several departments at Family Health Centers of San Diego. This includes the call center, referrals, patient engagement, enrollment, health information management and the patient portal. With the ever-changing nature of healthcare, the executive assistant must be adaptable, organized, and eager to participate in helping the Patient Access leadership leverage new technology, improve internal processes, and ultimately improve healthcare accessibility to the patients whom we are serving.

Responsibilites

• Assists in conducting managerial and organizational reviews and studies, as requested.
• Assists in coordinating the development, implementation, and evaluation of a strategic plan.
• Assists in handling requests/requirements of Joint Commission as directed by Senior Leadership.
• Assists in the development and implementation of systems for managerial effectiveness and process improvement by communicating policy clarification and providing technical assistance.
• Assists with the coordination and implementation of special events to include the annual board dinner.
• Coordinates and attends meetings related to projects and process improvement. Develops systems to track follow-up and outcomes.
• Creates and manages automated project tracking systems, information systems and other systems and processes to improve departmental and organizational effectiveness; works cooperatively with others in process analysis and improvement.
• Ensures directives of Senior Leadership are effectively communicated to managers and support staff, as needed.
• Maintains files of correspondence and related materials to include all administrative-related functions for Senior Leadership.
• Responsible for composition of Senior Leadership communications; thank you notes, documentation from meetings and patient correspondence.
• Responsible for scheduling of appointments/meetings as directed by Senior Leadership to include arrangements for refreshments/lunch, reserved parking, and conference room scheduling.
• Responsible for the organization and tracking of all projects.
• Performs other duties as assigned.

Requirements

• 5 years of experience as an Administrative Assistant, Personal Secretary or Executive Assistant in the healthcare field.
• Ability and means to travel as needed in a timely manner within San Diego County.
• Must meet driving requirements
• Background in process management a plus.
• Demonstrated track record of managing complex projects.
• Healthcare background is required.
• High School Diploma required.
• College degree preferred

Driving Requirement:In this role, it may be needed to travel to other worksites for meetings, events, or other dutues. Fittingly this position requires an active Class C California driver's license, proof of liability insurance at $100,000, on vehicle used. No more than 2 points in past 12 months; No suspensions in last 2 years for moving violations; No DUI, reckless or felony Driving within 5 years. No license revocation in 7 years.

If you are hired at Family Health Centers of San Diego, your final base salary compensation will be determined based on factors such as geographic location, jurisdictional requirements, skills, education, and/or experience. In addition to these factors - we believe in the importance of pay equity and consider internal equity of our current team members as a part of any final offer. Please keep in mind that the range mentioned above is what we reasonably expect to pay for the role. Hiring at the maximum of the range would not be typical in order to allow for future and continued salary growth.
