Job Description - Document Management Coordinator I or II

Position Description
Maintains and coordinates drawings and records and other documentation for Power Production Engineering projects supporting Maintenance and Operations construction activities. Acts as administrator for the engineering project documentation logistics. Responsible for electronic drawing storage and quality control.

Position-Related Responsibilities

  • Coordinates and tracks the project engineering documentation packages as they move through the various developmental and approval stages.
  • Coordinates engineering drawing packages with Reproduction services.
  • Develops and issues secured documentation file packages as required by engineering design projects.
  • Provides research, monitoring and tracking services for drawings files to assure documents are available in a timely manner.
  • Controls and Assigns drawing and facility numbers per TEP Engineering drawing number standard.
  • Maintains engineering files, records, databases, manuals, books, procedures etc. required to keep these documents current and accurate.
  • Initiates/Oversees the electronic imaging process of documents and engineering drawings. Maintains and organizes all engineering drawings. This includes updating original engineering drawings, updating the computer logs, manual and electronic management systems.
  • Tracks drawing reviews and approvals to ensure they are processed in a timely manner
  • Examines CAD files to verify the conformance with TEP CAD standards.
  • Confers with document originator or engineering consultant liaison personnel to resolve discrepancies and compile required changes to the document.
  • Understands document metadata requirements and verifies all required data
  • Prepares reports, curves, graphs, and data analyses as required for all departments.
  • Maintains departmental equipment history records and provides historical and forecast data necessary to implement budget and cost control measures.
  • Develops both special and weekly/monthly reports, such as as-builts backlogs, projected workloads, staffing availability, equipment history, maintenance costs and staffing to complete job items.
  • Evaluates and recommends changes in methods and procedures in assigned area of responsibility. Creates cost justifications to implement recommended changes.
  • Interacts with the Operations, Maintenance, Engineering Departments, and performs other special assignments as requested.
  • Develops and maintains positive, productive relationships with clients to ensure processes and solutions are integrated.
  • Prioritizes and schedules requests to ensure best practices and customer needs are met.
  • Provides training on the T&D Engineering project documentation process and drawing management systems as requested.
  • This position may provide services to affiliates of the Company subject to the UNS Energy Code of Conduct and the related Policies and Procedures.

Knowledge, Skills and Abilities
(Equivalent combination of education and experience may be considered)
Level I
Minimum Qualifications:

  • Two (2) years in Engineering document management and drawing quality control experience.
  • Proficient with AutoCAD and electronic drawing quality control methods.
  • Must be detail oriented, accurate and organized.
  • Must possess excellent written and verbal communication skills.
  • Excellent organizational and time-management skills.

Preferred Qualifications:

  • Progression towards completion of Associates of Science in Business or CAD
  • Proficiency in personal computer applications, including Microsoft Word, Excel, Access, PowerPoint, Project, AutoCAD, Vault Pro, Laserfiche, Bluebeam and Maximo is desirable.
  • Familiarity with Engineering drawing procedures, filing systems and Engineering documentation processes.
  • Experience with design/build and retrofit projects.
  • Ability to interact effectively with technical departments.

Level II
Minimum Qualifications:

  • Minimum qualifications of Level I plus:
  • Completion of Associates of Science in Business or CAD.
  • Minimum of four (4) years of relevant experience in Engineering document management and drawing quality control experience.
  • Experience with design/build and retrofit projects.
  • Ability to interact effectively with technical departments.
  • Proficiency managing medium projects with minimal supervision.

Preferred Qualifications:

  • Bachelor's degree (or equivalent) and specialized course work.
  • Recent power plant/utility experience.
  • Understanding of departmental and company terminology, programs, and procedures.
  • Familiarity with Engineering drawing procedures, filing systems and Engineering documentation processes.
  • Ability to provide training and instruction on Document Control processes and electronic tools.

Pay Rate: Salary determined based on candidates experience and qualifications.
