-General knowledge of the principles and practices of developing and implementing campus programs.

Position Overview


Primary Purpose of Position
The position will serve as the primary management assistant to the Executive Director of Student Activities & Campus Involvement. Position will administer and manage the business and financial affairs of the Office of Student Activities. Position will assist in managing and reporting for 10 budgets as well as assisting with procurement card and travel card reconciliation, student worker payroll, purchasing, inventory control, tax fringe benefit reports and other closely related work.
Primary Function of Organizational Unit
The Office of Student Activities oversees the development and organization of the university's primary extra-curricular programs. These areas include Student Government, Campus Programs, the Fraternity & Sorority system and Club & Organizations, as well as university wide events such as Homecoming & other large-scale events.
Work Hours M-F, 8a-5p Some Evenings and Weekends
Is this position eligible for a remote or hybrid work arrangement, consistent with university and state policies. On-site (Employees are primarily in the office and/or have a critical job requirement that requires dedicated office space on-site)

Essential duties and responsibilities include but are not limited to the following: Assist with the daily financial operations of the office. Provide assistance with planning and implementation of programs and activities. Ability to manage and improve business processes and operations by ensuring continuity and integration of policies and procedures. Ability to develop long- and short-term goals and objectives that support the business functions. Provide assistance with planning and implementation of programs and activities.


Required Competency Financial Management - Budget
Duties
Ability to plan and monitor the use of expenditures to meet organizational objectives and compliance. Ability to prepare budget documents and reports. Ability to allocate resources, plan procurement, and oversee budgets and contracts to ensure fiscal stability of the organization. Manage calendars, create files, monitor Student Activities budgets and expenditures, generate requisitions for areas under Student Activities, keep accurate budget records, make purchases, reconcile accounts, complete travel and procurement card documents for staff members, compile and track contracts, photocopy, maintenance of an accurate filing system, databases and files, word processing, order supplies and equipment, process mail and compile information for reports.


Required Competency Communication (Presentations, Oral, and Written)
Duties
Provide fiscal, administrative and clerical support for the Office of Student Activities, including answering phones, greeting visitors, providing front desk support; serve as first contact with students. Meet and greet students, provide information about programs and events, promote and assist student involvement in programs and activities. Transcribe minutes for meetings. Develop and maintain collaborative relationships with other North Carolina A&T State University departments, faculty, staff, students, visitors, and campus groups. Ability to clearly and concisely convey information orally or in writing to individuals or groups to ensure that they understand the information and the message. Ability to listen and respond appropriately to others using the appropriate media (e.g. email, presentations, etc.).

Duties
Demonstrated proficiency at an intermediate level using standard office software applications, including Word, Excel, and PowerPoint. Additionally, initiate purchase requisitions using Aggie Mart, access Banner Student and Banner Finance, and make edits to Student Activities websites.
