In this role, the successful candidate provides excellent support of the transplant programs including collecting and analyzing medical records and test results, preparing patients for pre-transplant evaluation and post-transplant follow-up, manages clinic flow, interacting with laboratories and other ancillary providers to schedule testing and collect test results, educating patients and families about transplantation and organ donation, checking insurance and coordinating preauthorizations, answering and triaging phone calls, and other duties as assigned.

MINIMUM QUALIFICATIONS:

EXPERIENCE:

1. High school diploma or equivalent.

2. Obtain certification in Basic Life Support within 30 days of hire date.

PREFERRED QUALIFICATIONS:

EDUCATION, CERTIFICATION, AND/OR LICENSURE:

1. Bachelor's Degree in a Healthcare related field

EXPERIENCE:

1. Three (3) years of experience in a physician practice

2. One (1) year Transplant experience

CORE DUTIES AND RESPONSIBILITIES:The statements described here are intended to describe the general nature of work being performed by people assigned to this position. They are not intended to be constructed as an all-inclusive list of all responsibilities and duties. Other duties may be assigned.

1. Greets patients coming into the department. Arrives patients into EPIC and completes registration. Facilitates and manages daily clinic flow.

2. Conducts face-to-face or telephone interview with patients to obtain all required registration data and prepare charts as required. Confirms and reschedules appointments promptly and as necessary.

3. Intakes new consult and prepares new client chart packages. Handles incoming phone calls related to scheduling by responding to inquiries, resolving problems or directing calls to the appropriate staff.

4. Intake for potential recipients and living donors; obtain demographics, insurance, PCP, referring MD and medical records.

5. Verification of Insurance and Authorization/Referral for consult.

6. Liaison between potential transplant patients, referring physicians, dialysis centers, insurance providers and case managers, transplant surgeons and physicians, and transplant coordinators.

7. Complex scheduling of appointments.

8. Mails out new patient packet to the patient with all information for transplant along with forms that may need to be signed by the patient.

9. Responsible for helping to guide patients through and help facilitate the evaluation process, including obtaining clinical information and testing results, providing insurers with documentation of medical necessity for transplant evaluation and listing.

10. Sending of letters following committee review. Copies of medical records from evaluation testing to physicians outside of the WVU Health EMR system. Same records to be sent to other transplant centers if requested by the patient.

11. Data abstracting of outside medical records into EMR.

12. Scanning of pertinent records into EMR for UNOS/CMS surveys.

13. Triage all incoming phone calls to the appropriate team member; identifying emergency/urgent calls are handled timely.

14. Perform any and all other administrative responsibilities as assigned.
