Add to favorites Favorited View favorites Pay Grade/Pay Range: Minimum: $18.32 - Midpoint: $21.97 (Hourly N4) Department/Organization: 820401 - HRC Administration Normal Work Schedule: Monday - Friday 8:00am to 5:00pm; some nights and weekends. Job Summary: The Administrative Assistant II provides administrative support for the operations of unit. Performs moderately complex and well documented administrative tasks. Acts as office liaison/receptionist. Receives and routes phone calls, emails, and/or guests. Maintains files and enters data. Drafts and sends communications on supervisor/departmental staff behalf. Reconciles P-Card/Concur for other staff/faculty against departmental budget. Performs some simple budget monitoring/entry. Operates standard office equipment such as personal computers, copiers, fax machines, etc. Additional Department Summary: Provides vision, direction, and oversight for the University's 24-hour customer service desks located within six residential facilities. Serves as the main point of contact for a high-volume area. supervises 125+ student assistants for the desks. Holds staff accountable for performance, ensuring the desk is scheduled at all times, and that all student assistants can effectively assist students and parents. Ensures the new hire process is completed for all student assistants, managing the scheduling database, and verifying and approving time sheets. Works with Residential Communities staff to plan and implement student assistant training. Completes required training and promotes a safe, hospitable, and respectful workplace. Holds staff accountable for completion of required training. Has personal accountability for financial reporting and responsibility for establishing, enforcing, and following internal processes and controls as outlined in UA policies and procedures. Required Minimum Qualifications: High school diploma or GED and two (2) years of administrative experience; OR associate's degree or higher. Additional Required Department Minimum Qualifications: This position will need to be flexible in work habits to allow for the extended work schedule as needed to accommodate student schedules. Hours may include evenings and weekends as needed during training and selection periods, hall openings, and summer transition periods. Skills and Knowledge: Strong interpersonal communication skills, both written and verbal. Strong organizational skills. Knowledge of with Microsoft products (Excel/Office 365, etc.). Demonstrates commitment to supporting all students. Preferred Qualifications: Supervisor skills.
