Overview

VTG is looking for Administrative Assistants in Vanderberg, CA (VSFB) and Cape Canaveral, FL.


What will you do?

Enterprise Staff Services - Administrative Support (AS) provides administrative support across the OSL enterprise. The AS establishes and maintains effective working relationships with customers and other stakeholders of the offices both internally and externally. These administrative services include office administration, calendar management, clerical services, travel services, MAT Team coordination functions, conference room management, launch visitor support, meeting support, NRO records management, and OSL Director's Action Group (DAG) support. AS labor category skill levels (Gl thru G3) coupled with applicable launch service contract Statement of Work (SOW) tasks determine AS skill level requirements.

Tasks may include:

  • Maintain and manage a schedule of appointments/meetings for a, manager, office and/or function based on the priorities established by the government.
  • Track status of incoming and outgoing correspondence and actions.
  • Pass and receive clearances and prepare access lists.
  • Manage office files plans and document archiving
  • Makes and coordinate travel arrangements for unit managers and others.
  • Process travel, training, and POV vouchers.
  • Escort visitors and guests.
  • Performs back up administrative duties for other offices within the directorate/office.
  • Assists new employees: ensure phone/voicemail is ready upon their arrival, add employees to required e-mail groups and directories
  • Coordinates order of office supplies and the repair of office equipment.
  • Produce, coordinate, and publish documents such as instructions, spreadsheets, presentations, and reports.
  • Monitor telephones of manager or office members.
  • Maintain and update knowledge management, enterprise and directorate tools, databases, spreadsheets.
  • Prepares and disseminate info1mation to appropriate individuals/offices.
  • Evaluate, propose, implement innovative-and/or new administrative processes to improve the efficiency and effectiveness of support administration.
  • Ensure meeting room equipment is properly functioning and ready to support meetings
  • Provide presentation material and background information in a timely manner to meeting stakeholders and attendees.
  • Plan, schedule, organize, and execute meetings, conferences, site visitors and off-sites.
  • Participate in meetings and events: serve as recorder or working member of group and may brief or present administrative support related information.
  • Prepare weekly status reports on the progress of action items and initiatives for the function or business areas.
  • Assist or perform as a focal point for a program or process.
  • Ensure compliance with NRO regu1ations, policies, and procedures,
  • Coordinate, track, and monitor administrative and program support activity.
  • Draft, proofread, edit, and provide final review of all correspondence.
  • Produce content and material for briefing packages and present information to various audiences as required.
  • Perform as Action Officer for oversight, monitoring, and reporting on status of task completion related to the execution of a program, process, or transaction tasking.
  • Perform MAT program management coordinators (PMC) tasks.

Do you have what it takes?

Position requires a current and active TS/SCI with Poly; Years experience can be subsituted as follows:

5 YEARS EXP = ASSOCIATES
10 YEARS EXP = BACHELORS
15 YEARS EXP = MASTERS

Ability to:

Pay Range: VTG's estimated starting pay range is $100,000 - 130,000 annually, which is a general guideline for the geographic location. When extending an offer, VTG also considers work experience, education, skill level, market considerations and may possibly include contractual requirements which may cause an offer to fall outside of this range
