What You'll Do

  • Manage the day-to-day financial administration of the firm
  • Monitor the firm's financial performance, update top management, and prepare financial statements and performance reports for internal use
  • Supervise accounting functions such as payables, receivables, and tax and audit at the Corporate level
  • Answers inquiries from staff, vendors, or clients and communicate financial information to office managers as needed
  • Provide accounts payable services to ensure accuracy of data entered into MIS, including contacting offices to resolve questions and follow-up on input received
  • Review coding and verify math on invoices submitted by all offices; organize and prepare payables for input
  • Establish due dates
  • Set up mnemonics for vendors
  • Separate sub-consultant invoices pending client payments and provide descriptions for invoices
  • Input payables into system
  • Separate invoices and sub-consultant payments by payable account
  • Provide disbursement services
  • Maintain open items and age invoices to meet payment commitments
  • Organize and prepare vouchers for check preparation: input, proof, and write checks; and input accounts payable journal entries as needed
  • Monitor sub-consultant payments
  • Review client invoice payments against sub-consultant billings before each check run
  • Release payments to sub-consultants when client invoice paid
  • Reconcile details and prepare for production of reports
  • Research vendor invoice discrepancies
  • Answer vendor calls
  • Balance check register
  • Purchase journal and A/P aging ledger; prepare period end reports
  • Serve as custodian of petty cash fund for offices; maintain and reconcile petty cash account.
  • Prepare reports in compliance with agency requirements; obtain tax ID numbers from vendors; prepare year-end 1099 forms, and send forms to vendors and IRS
  • Establish and maintain working files; responsibility for all A/P files
  • Reconcile general ledger accounts
  • Compile and analyze financial information to prepare entries to accounts, such as general ledger accounts, documenting business transactions
  • Analyze financial information detailing assets, liabilities, and capital, and prepares balance sheet, profit and loss statement, and other reports to summarize and interpret current and projected company financial position
  • Domestic tax planning and compliance
  • Work with bank on credit line
  • Coordinate annual audit and work with government auditors
  • Perform bank reconciliation and follow-up with all bank accounts
  • Perform the clerical tasks necessary to prepare paychecks and maintain payroll records, as needed
  • Supervise accounts receivable and input adjustments, as needed

What We're Looking For

  • Bachelor's Degree in Accounting, Finance, or related field

  • 10+ years of related experience
