Description

Support Army Aviation R&D operations as a Senior Administrative Support Specialist in Newport News, VA. This role ensures smooth program execution by delivering comprehensive administrative support and coordination to technical, programmatic, and leadership teams.

Essential Duties

Program Documentation & Coordination



  • Develop and maintain program documents including briefings, spreadsheets, and reports.
  • Create and deliver clear technical briefings, recommendations, and critiques.
  • Assist with design reviews and program status meetings in Army Aviation R&D programs.


Administrative & Operational Support



  • Perform a wide range of administrative duties including mail sorting, records management, and report consolidation.
  • Maintain office supplies and equipment inventory.
  • Compose various types of correspondence and personnel-related documentation.


Travel, Scheduling & Logistics



  • Make travel arrangements per regulatory guidelines and traveler preferences.
  • Schedule and coordinate meetings, calls, and conferences.
  • Prepare travel orders, vouchers, and maintain accurate logs.


Data Management & Procurement



  • Consolidate and submit time and attendance records.
  • Track labor hours for government personnel and maintain monthly logs.
  • Manage purchase requests, vendor communication, and order tracking for materials and services.


Required Qualifications



  • Minimum 5 years of relevant administrative or program support experience.
  • Demonstrated ability to handle sensitive data and multitask in a dynamic environment.
  • Strong organizational and written/verbal communication skills.


Preferred Qualifications



  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Access) and Adobe Acrobat.
  • Experience coordinating with senior staff and managing multiple task schedules.
  • Ability to follow complex instructions efficiently and accurately.


Education & Certification



  • High school diploma or equivalent required.


Required Clearance



  • Active Secret clearance required.


Travel



  • Travel: TBD (May be required based on mission needs)
