Job Responsibilities |
The Associate Registrar plays a leading role on campus in managing and overseeing transfer credit processing and academic policy, serving as a central point of expertise. A key function of this role involves managing the end-to-end transfer credit process, from evaluation to articulation, ensuring a seamless experience for incoming students, both first year and transfer students. The Associate Registrar is responsible for updating and maintaining the academic programs section of the undergraduate catalog and coordinates academic policy communication across campus. This involves collaborating closely with academic departments, curriculum committees and other relevant stakeholders. This role requires strong project management skills to ensure the timely completion of catalog updates and effective communication throughout the revision process
Functional project manager for undergraduate academic program catalog updates (20%)
- Responsible for the accurate and timely publication of the University's Undergraduate Catalog.
- Communicate approved curricular and policy changes to:
- Admissions Counselors
- Center for Career and Academic Planning
- Registrar's Office staff
- Ensure timely and comprehensive understanding of changes among all relevant parties.
- Develop and implement efficient processes for collecting, reviewing, and verifying departmental and program information.
U
ndergraduate transfer credit evaluation and processing (50%)
- Manages Undergraduate Transfer Credit Evaluation and Processing for transfer and first year students, and communicates evolving policies, procedures, and technological advancements governing transfer credit.
- Drives continuous improvement in the transfer articulation process.
- Ensures Accuracy and Efficiency in Credit Evaluations and Data entry related to transfer credit
- Serves as a key point of contact and collaborator with department chairs and program directors to address transfer credit issues and partners with Admissions office for Strategic Student Support
- Oversees Processes for Readmitted Students and Academic Amnesty
Senior Audit Processing/Graduation Review (25%)
- Responsible for reviewing student's academic record, including:
- Creating an audit of completed requirements and missing work necessary for degree completion.
- Communicating audit information to the student and advisor for necessary follow-up.
- Discussing possible appeal options to resolve issues.
- Processes substitutions/waivers in uAchieve.
- Collaborates with the Degree Audit and Student Information Specialist to modify uAchieve degree evaluations as necessary.
Serves on College Committees (5%): Curriculum and Instruction, Academic Standing Committee, Core Advisory Group. |
Education / Experience |
Bachelor's degree and five to seven years progressively responsible experience in a Registrar's Office or advising office.
Familiarity with computerized information systems.
A proven record of working successfully with diverse populations.
Knowledge of
FERPA. |
Competencies / Skills |
Candidates should possess extensive experience in transfer credit evaluation and posting, and a proficiency in degree audit software for student degree certification. Experience with Ellucian Banner is strongly preferred. A proven track record of leadership and effective collaboration, particularly in working with Admissions and Advising on curriculum and transfer credit issues. Strong interpersonal, oral, and written communication skills, excellent time management abilities, and the capacity to work independently are also required. A proactive and positive approach, coupled with the ability to strategically plan and adapt to evolving needs within academic policy and transfer credit processes, is essential to drive improvements in transfer credit processes. |
