Job Summary

The Training Logistics Analyst will manage all logistical aspects for one of our projects.

This role is responsible for coordinating end-to-end logistics, including venue reservations, trainer travel arrangements (flights, accommodation), invoice processing, manage participants invitations and overall project logistics with trainers. The ideal candidate will ensure smooth and efficient delivery of training events by managing timelines, budgets, and stakeholder communications.

Main Activities:



  • Organize and schedule training sessions in coordination with trainers and stakeholders.
  • Reserve training venues, ensuring all technical and physical requirements are met.
  • Manage registration processes and attendance tracking.
  • Coordinate travel plans for trainers and participants, including booking flights and ground transportation.
  • Arrange accommodations in line with budget and location requirements.
  • Track and manage training-related expenses.
  • Process vendor invoices and reimbursements in collaboration with the finance department.
  • Monitor budget utilization and flag discrepancies.
  • Serve as the point of contact between trainers, participants, vendors, and internal teams.
  • Prepare and distribute training materials, agendas, and communications.
  • Respond to inquiries and provide logistical support pre-, during, and post-training.
  • Develop and maintain training calendars and implementation timelines.
  • Ensure timely delivery of training components, including materials, equipment, and resources.
  • Maintain accurate records of training events, participants, costs, and feedback.
  • Generate regular reports on logistics performance, attendance, and overall training delivery.



Qualifications



  • Bachelor's degree in Business Administration, Human Resources, Project Management, or a related field (or equivalent experience).
  • Previous experience in training coordination, event planning, logistics, or project administration.
  • Experience managing logistics for multi-site or large-scale training programs is an advantage.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
  • Experience using project management or scheduling tools (e.g., Monday, Trello, Asana).
  • Basic budgeting and invoice processing knowledge.
  • Desirable: intermediate English.
