Foundry Product in CoreAI is seeking an experienced Executive Business Administrator to support a Vice President of Product and a Vice President of Applied Engineering. As an Executive Business Administrator, you will effectively manage a high and time-sensitive workload, work independently, and deal with ambiguity. You will have a passion for making managers and organizations great, possess the ability to set priorities, handle multiple time-critical tasks simultaneously, and run the team in a structured way. Responsibilities Reviewing and approving team Expense Reports.Partnering and cross-collaborating with AI Platform Administrative team as well as many parts of the CoreAI organization. Partnering with HR, Staffing, and Finance as well as facilities for space management.Managing headcount, tracking open positions, creating requisitions, onboarding new hires, and keeping up to date with Headcount related tools. Maintaining distribution lists. Managing space allocation, anticipating possible compression issues, scheduling individual moves, and assisting with group moves for team members.Team support including space management, office moves, new hire set up and onboarding and procurement of equipment and supplies for the teams you will support.Purchasing equipment for new hires and refreshes. Track assets, cost centers, PC Recycled assets, and equipment transfers.Managing operating budget and spend, identifying near-overages and issues. Partnering with Finance to ensure no reporting discrepancies. Acting as final approver on all team expense reports, ensuring coding accuracy.Organizing and planning off-sites and morale events at the team level. Cross-collaborating, planning, and providing support for org-wide events including Town Hall Meetings, org morale events, and other events as needed.Experience working with a global team and cultural awareness
