The Opportunity:

The Academic Support Coordinator II position coordinates all aspects of Faculty Affairs and the Institutional Effectiveness Assessment process in the College of Sciences. Assists Senior Associate Dean and Dean with faculty-related processes and projects. Acts as COS lead liaison for Interfolio.

We are seeking a resourceful and detail-oriented professional who thrives in a collaborative academic environment. The ideal candidate is confident working independently, quick to adapt to new technologies, and skilled in organizing complex tasks and processes. With strong judgment and a readiness to ask for support when needed, they will bring a balance of initiative, discretion, and an understanding of how to support faculty and academic operations effectively.

Responsibilities:


  • Coordinate the processes for the College of Sciences associated with Faculty Awards (Sabbatical, TIP, RIA, Excellence Awards, etc.). This includes organizing the committees and ensuring the committees are following the policies and procedures, communication (announcements/notifications), and applicant support. Check faculty eligibility for awards.

  • Initiate and manage processes associated with Tenure/Promotion including Post-Tenure Review and Cumulative Progress Evaluations for all faculty types. This includes coordinating with department chairs/school directors and the Office of Faculty Excellence; developing timelines; communication (announcements/notifications/guidelines); setting up and charging committees as Dean designee and providing committee support throughout the process; providing applicant support and answering applicant questions; organizing and holding workshops for applicants as needed; and facilitating processes for the college committee and dean by checking and tracking eligibility, completeness of reports, managing the workflow and ensure timely completion and processing.

  • Check promotion committee reviews and identify incidences where they need to be amended and revised and work directly with department chairs and committee chairs to revise reviews and provide guidelines. Review and correct faculty lists for compliance with Post-Tenure Review requirements. Work directly with Dean on managing Dean-level reviews. Establish faculty eligibility for promotions.

  • Manage Faculty Affairs processes associated with Annual Reports and Evaluations including Interfolio processes. This includes distributing annual report templates and communicating timelines, SPI distribution/records, and AESP reviews/revisions. Lead the process for the annual evaluation and five-year reviews of Chair/Directors including tracking who needs to get reviewed, work directly with the committee on designing surveys, compile and share survey data. Draft and update college-level evaluation criteria for Research faculty.

  • Coordinate Assessment for the College of Sciences. This includes managing the review process (establish timelines, act as point person for the online assessment system, recruit, coordinate, and assign faculty reviewers; communicate with program assessment coordinators).

  • Develop training materials and hold training workshops. The College of Sciences currently conducts assessment for 50+ academic programs, dean's office and centers/institutes. Compile and analyze data on ratings for all programs; prepare and present College Assessment Report to the University Committee. Initiates, distributes, collects and analyzes COS Annual Satisfaction survey to all COS faculty and administrators.

  • Apply comprehensive knowledge and understanding of faculty affairs processes to assure that all UCF policies and procedures are followed correctly including compliance with CBA and Regulations. Liaison with the Office of Faculty Excellence and chair/directors on all matters. Oversee COS Conflict of Interest reporting.

  • Manage additional Faculty Affairs tasks/responsibilities. Oversee and manage COS Faculty Affairs website for accuracy and updates; initiate and organize all college committees and committee elections and determine which committee positions need to be filled, who is eligible, and develop election guidelines; initiate and manage all college-wide elections including tabulating election results for COS Elections Committee certification. Prepare and update materials for COS New Faculty Mentoring Workshop Series and organize meetings including identifying speakers; co-present mentoring materials.

  • Review and update COS Bylaws and organize review and approval processes. Ensure that all committee work complies with COS bylaws. Work with COS HR as needed for all faculty-related processes (e.g. ensure award payments etc.)

  • Assist Associate Dean for Faculty Affairs with projects and tasks as requested.

  • Coordinate other committees or other projects as requested by the Dean.


Minimum Qualifications:

Bachelor's or Master's degree and 2+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Click here for more information

Preferred Qualifications:


  • Experience working in higher education, particularly in faculty affairs or academic administration.

  • Familiarity with faculty awards and the promotion & tenure process.

  • Foundational knowledge of university policies, collective bargaining agreements, and academic regulations.

  • Experience organizing and facilitating workshops, trainings, or committee meetings.

  • Experience in planning, managing, and implementing complex processes.

  • Familiarity with and willingness to learn various systems and platforms such as Interfolio, Qualtrics, or Workday. Proficient in Microsoft Office Suite, including Word, Teams, Excel, and Outlook.

  • Excellent written and spoken communication skills.
