The Department of Orthopaedics at West Virginia University Research Corporation is currently accepting applications for an Administrative Secretary position. About the Opportunity The purpose of this position is to ensure efficient and complete collection of Patient Reported Outcome Measures (PROMs). Accurate and complete patient reported outcomes provides quality data for analysis and publication and generates information that can be used to improve patient care. This position provides program, as well as direct internal and external client support services. Responds to inquiries and independently resolves matters of low to moderate complexity. Responsibilities require some judgment, resourcefulness, and originality, but diverse guides and precedents are usually available to apply or adapt to the circumstances. Work effort has considerable impact on client services, program and project image, with potential legal liabilities. What You'll Do
- Assisting patients in accessing and completing Patient Reported Outcomes (PROMs) collected for their specific service which can be completed in several ways: phone calls, MyWVUChart messages, and/or in person. Ensuring that outcomes questionnaires are completed prior to discharge from clinic. Providing basic troubleshooting for tablets and readily communicate issues as identified.
- Scheduling PROMs appointments through the electronic medical record for patients in multiple clinics and communicating this appointment with patients via phone calls or MyWVUChart. Reporting on collected PROMs from multiple clinics on a weekly basis. Working with front desk staff at multiple clinics helping to troubleshoot and collect PROMs.
- Completing data collection and recording for study participants in the Hand and Joint Replacement Services at the University Town Center; coordinating study related activities with study investigators, physicians, site coordinators, and department personnel as relevant to conduct of study. Completing required study documentation in a timely manner. Conducting research activities in an economically efficient manner and within budgetary constraints.
- Recruiting patients/participants for hand and joint replacement clinical research studies; consenting patients/participants; collecting demographic information. Managing multiple projects/protocols concurrently in a dynamic environment.
- Assisting in IRB/regulatory preparation, retention, and closeout for hand and joint replacement services.
- Participating in study work group meetings. Contributing with observations and feedback for improvement of duties and processes.
Qualifications
- Associate's degree.
- A minimum of one (1) year of experience:
- Work in a clinical setting with patients and providers.
- Database design
- Any equivalent combination of related education and/or experience will be considered.
- All qualifications will need met by the time of employment.
Knowledge, Skills and Abilities
- Should be outgoing, organized, detail-oriented, and able to persistently follow-up with patients, physicians, investigators, and sponsors when needed.
- Be able to plan and schedule research activities as well as gather demographic and clinical data on study participants.
- Should be technologically facile with word processing, spreadsheets, and database computer skills and capable of preparing and reporting results of research activities. Candidate must be able to adhere to firm deadlines.
- Position requires close communication with Principal Investigators, study participants, and members of the research team. Will have frequent interaction with all members of the research team and must be able to work as a team member, as well as independently.
- Position requires the ability to protect participant confidentiality and maintain composure when handling sensitive issues.
- Advanced oral and written communication skills in order to interact appropriately with members of staff, research team, and funding sponsors.
- Must ensure compliance of all individuals associated with clinical research, through training, guidance, and example.
Requirements
- The ability to travel to WVUs regional campuses and/or within the multi-state area is required.
