Position Summary |
The Visitor Services Assistant provides essential administrative and front-line support to ensure a welcoming and engaging experience for all museum guests. This role is responsible for coordinating daily operations within the Visitor Services department, maintaining departmental records, and supporting gallery guides and shop staff. The Assistant also plays a key role in visitor engagement by greeting guests, offering information about exhibitions and museum amenities, and promoting memberships and events. Additionally, the position supports training and onboarding of new staff, contributing to the development and implementation of departmental procedures and workflows. This multifaceted role requires strong organizational, communication, and interpersonal skills to enhance the overall visitor experience and support the museum's mission.

- Ability to train staff members on departmental objectives.
- Computer skills, including Microsoft Office Suite and ONEUSG.
- Ability to be flexible and adapt to various work and schedule demands.
- Ability to schedule a 20+ person department.

Physical Demands |
1. Standing and Walking
- Prolonged periods of standing at the welcome desk or in galleries.
- Frequent walking throughout the museum to assist visitors, check galleries, or support events.
2. Light Lifting and Carrying
- Lifting and moving shop merchandise, brochures, or signage (usually under 25 lbs.).
- Assisting with shop inventory and restocking items.

Administration Support:
- General administrative duties and support tasks related to the daily operations of Visitor Services.
- Coordinate with other museum departments for gallery guide training and for special event needs.
- Maintain Visitor Services department files and records, including filing, organizing, and retrieving.
- Provide back up support for shop and gallery guides. Work closely with the gallery guides to coordinate efforts, lunches, and time away for coverage.
- Assist in the annual shop inventory, conduct cycle counts, and receive shop merchandise.

Duties/Responsibilities |
Visitor Services:
- Warmly welcome, greet, orient, and direct visitors at the welcome desk or in the galleries.
- Be knowledgeable about and able to discuss the museum's physical layout and architectural features, including galleries, restrooms, Sculpture Garden, exits and elevator.
- Facilitate spontaneous conversation about art.
- Assist visitors with inquiries about artists and exhibitions through engaging discussions.
- Promote museum memberships, the museum shop, events, programs, tours and special events.
- Review the daily schedule of events and communicate relevant information to other staff and museum guests as needed.
- Be familiar with Friends of GMOA (membership) benefits and promote Friend benefits to museum guests.
- Be receptive to visitor feedback and perspectives.
- Maintain a clean area around visitor welcome desks and galleries, including tidying lobby and gallery areas, refilling brochure racks, and notifying maintenance as needed.
- Answer and direct phone calls and answer general questions about the museum, exhibitions and public offerings.
- While assigned to the shop, duties involve assisting customers, processing sales, and stocking merchandise.
