CORE RESPONSIBILITIES AND TASKS:

This position exists to process inbound and outbound deliveries and shipments at our Corporate Headquarters, Higbee, Hinckley, and other external locations of the Sherwin-Williams Company. This position is responsible for the efficient and timely delivery and processing of all mail and shipments for various third-party couriers including, but not limited to, the U.S. Postal Service (USPS), UPS, FedEx, and DHL. This position is also responsible for inter-office mail for various locations.

(1) Mail, Package, and Material Handling:

  • Receive, sort and deliver all types of inbound mail, parcels, boxes, pallets, or other shipments received via courier and inter-office.
  • Pick-up, sort and process all outbound and return mail, parcels, boxes, pallets, or other shipments from various locations. This includes both domestic and international shipments.
  • Sort, pack and process weekly mailings to external locations for various divisions throughout the U.S. and Canada.
  • Maintain established delivery and pick-up times of all daily mailing deadlines, ensuring all mail, packages and boxes are processed or delivered in a timely manner. Ensure all outbound mail, packages and boxes are processed and charged out properly the same day shipment is requested.
  • Maintain all records of delivery and complete administrative paperwork, as required.
  • Advise customers on various shipping methods based on cost savings and efficiency. Communicate with internal and external partners to meet necessary shipping protocols.
  • Help reconfigure mail delivery routes, as needed, to accommodate internal relocations and department reorganizations. Partner with Space Management team to maintain accurate employee locations.

(2) Inventory & Supply Replenishment:

  • Responsible for facilities storage and deliveries including but not limited to janitorial consumables, food service deliveries, MEP deliveries, application lab materials, merchandise store materials, and special event deliveries.
  • Maintain inventory of typical shipping supplies (ex. envelopes, boxes, shrink wrap, bubble wrap, pallets, etc.)
  • Audit inventory of typical office supplies in shared copy rooms and mail areas daily. Replenish as required.

(3) Equipment & Technology:

  • Successfully navigate various technology:
  • Mail Tracking System and Space Management software. This includes monitoring and responding to work orders in a timely fashion, as well as using basic building maps to navigate.
  • Postage machine - accurately process various outgoing mail (First Class, Certified, Registered, Express, Priority, International, etc.) with accounting input. Perform postage machine meter readings and monitor for updates, tape changes, low ink, low sealer and any malfunctions.
  • Third-party shipping websites - navigate various shipment platforms (ex. FedEx, UPS, etc.) and accurately process outgoing shipments. Provide customers accurate pricing information and shipment details to determine the most efficient, cost-effective solution. Troubleshoot issues and escalate to management as necessary.
  • Operation and maintenance of label machines for all courier tracking systems and interoffice mail. Collect/scan necessary data to ensure accuracy of shipment tracking. Clean, replenish, and replace small parts on equipment as necessary.
  • Safety and confidently operate a variety of shipping and receiving equipment, including, but not limited to forklift, pallet jack (manual and electric), 2-wheel dolly, compactor, baler, tilt carts, flat bed carts, push carts, scales, dock locks/truck restraint systems, overhead doors, intercom, and freight elevator.
  • Maintain thorough knowledge of department equipment and operations to make decisions on workflow and escalate issues to management, as necessary.

(4) Trash & Recycling Program:

  • Perform handling, storing, and shipping for the site recycling, trash, pallet inventory, composting, and other programs.
  • Deliver and pickup dumpsters, cardboard, or other large items
  • Document and submit sustainability statistics in appropriate reporting platforms

(5) Safety Procedures:

  • Coordinate and deliver freight entering or leaving the dock in a safe and accurate manner.
  • Achieve and maintain a safe working environment by performing daily inspections of equipment including, but not limited to, forklift, baler, compactor, pallet jack, utility carts, and truck restraint systems, ensuring equipment is working properly.
  • Assist with keeping work environment free from clutter, dust, and trash. This includes policing outside of the building and removing litter, debris, cigarette butts, mopping spills, and misc. cleaning. Removal of insects as may be required by the peripheral spraying of over-the-counter insect spray until exterminator can be called.
  • Assist with occasional snow removal, salting, and pressure washing in/around shipping and receiving area
  • Maintain awareness of and report suspicious packages according to site safety procedures.
  • Ensure hazardous materials are handled and stored in proper areas according to site safety procedures.
  • Personal Protective Equipment (PPE) such as steel toe shoes/boots, gloves & safety glasses must be worn while performing this role.
  • Continuously check for appropriate identification of delivery personnel and comply with building security procedures prior to authorizing access into the building. For restricted areas, seek approval from management or security.
  • Assist Security and other Facility teams during emergencies as requested.
  • Assist Facilities department with various projects as assigned.

POSITION REQUIREMENTS:

FORMAL EDUCATION:

Required:

  • High School Diploma or GED

KNOWLEDGE & EXPERIENCE:

Required:

  • Forklift license is required, or willingness to obtain and maintain a forklift license upon hire.

Preferred:

  • Valid Drivers' License and safe driving record
  • Hazardous Materials background, Air Shipping / ICAO Regulations knowledge
  • 1+ years' experience in a shipping & receiving or warehousing environment

TECHNICAL/SKILL REQUIREMENTS:

Required:

  • Ability to handle multiple projects and meet deadlines
  • Self-starter able to work with minimum supervision
  • Possess a pleasant and courteous demeanor
  • Ability to communicate verbally and in written form
  • Ability to read a ship list and BOL
  • Basic computer skills for processing inbound and outbound items.
  • Working knowledge of Microsoft 365 (Outlook, Teams, etc.)
  • Ability to work effectively in a team environment
