Job Title: Project Coordinator

Location: North Chicago, IL 60064 (Hybrid)

Duration: 4+ Months (possible extension)

Description:

Project Coordinator supports the company's consultant contracting and sponsorship technology involving departmental or cross-functional teams focused on the delivery of new or existing solutions.



  • No coding or technical development required, but being tech-savvy is important to understand how systems work and to identify whether issues are system-related or vendor-related.
  • The role requires experience with system testing, creating test scripts, and reporting system issues.
  • User training experience is preferred - such as creating training materials or leading sessions.
  • Role involves triaging tickets, supporting operations, and coordinating with vendors for issues and releases.
  • Will work closely with internal teams, management, and Healthcare Professionals (HCPs).
  • Ideal candidates will have strong written and verbal communication, and the ability to simplify complex systems for end users.
  • Previous pharma experience is not required, but considered a nice to have.
  • The candidate will regularly handle triaging issues, reporting bugs, and sometimes participate in testing (though not necessarily writing test scripts every time).


What we are looking for:



  • Bachelor's degree is highly preferred; however, candidates with an associate degree and relevant experience (testing + project management) may be considered.
  • Candidates should have the ability to troubleshoot system issues, document workflows, and support upgrades.
  • Experience with project management tools (MS Project, Smartsheet, Jira, etc.) is beneficial, though not requir.
  • Minimum 2 years of experience in system support, project coordination, or vendor management.
  • Experience in system testing, user training, and supporting operations is expected.
  • Experience with creating project timelines, coordinating releases, and day-to-day project tasks is helpful.
  • Ability to schedule meetings, coordinate vendor estimates, and ensure documentation is in place.
  • Strong communication skills are a must - candidates must be comfortable emailing HCPs or interacting with senior leadership.
  • Will it require a degree of any kind? Yes, a bachelor's degree is preferred.
  • How many years' experience do you feel is needed for your role? Minimum 2 yrs experience working with system support and/or project management or vendor management.



Responsibilities:



  • Assists with the maintenance of the Business Services Group systems (data management, integration, system development, change management, and training support) and interacts extensively with employees worldwide
  • Provides user assistance for system navigation questions and issues
  • Request estimates from vendors and authorization approvals from internal stakeholders.
  • Applies analytical thinking skills to diagnose and make recommendations on systems and internal processes. Incorporates knowledge of business and technology to make recommendations
  • Proactively recommends improvements to streamline current processes and reduce cycle time.
  • Works effectively with the team/group to accomplish organizational goals. Actively participates in client or team meetings by offering suggestions. Provides input to project planning.
  • Develops project plans that integrate and align with cross-departmental processes and other projects, and provides innovative solutions to overcome project hurdles.
  • Acts as a resource to provide innovative solutions to mitigate risks, manage competing customer priorities, facilitate contingency plans, maximize cost-effective resource utilization, and improve employee effectiveness.
