Duties and Responsibilities
School of Education Undergraduate Senior Academic Advisor Job Summary:
Under the direction of the AD of Student Academic Affairs & ISBE Licensure Officer, the senior undergraduate advisor provides academic advising to students on course selection, requirements for selected area of concentration and a wide range of issues to support student success and graduation. Knowledge of ISBE licensure requirements and International Baccalaureate (IB) requirements is required.
Duties and Responsibilities:

  • Care for students (Incoming first year and transfer students, sophomores, juniors, and seniors, in the School of Education) through individual academic advising sessions, imparting a working knowledge of degree requirements and opportunities for students to achieve their academic, career, and life goals.
  • Assist, challenge, and support students in identifying and clarifying academic, career, and life goals and offer appropriate motivation and encouragement.
  • Monitor mid-term grades and provide timely reports to the AD of Student Academic Affairs and the Undergraduate program director.
  • Support student retention efforts within the SOE.
  • Accurately and efficiently communicate transfer credit and remaining degree requirements (Core, school-specific, and major requirements) for a timely graduation using online and off-line resources.
  • Understand, convey, and implement academic policies, procedures, and protocols to students, parents, faculty, and other stakeholders, while upholding FERPA requirements and the highest ethical standards.
  • Assist students in resolving administrative issues related to their academic records and assist with the various duties related to course registration issues.
  • Maintain and update student records, such as meeting notes, records relating to degree progress, correspondence, and other documentation when appropriate.
  • Prepare, deliver, and review graduation audits and audit checks for caseload of advisees.
  • Identify, monitor, and provide guidance to students on academic probation. Make probation and dismissal recommendations.
  • Refer students directly to appropriate campus and off-campus resources to support their academic success.
  • Assist with initiatives on a departmental and inter-departmental level that support persistence through graduation.
  • Co-create and lead recruitment opportunities with the AD of Student Academic Affairs and the Undergraduate program director.
  • Present workshops on topics such as academic planning, transfer-student transitions, and student life in the SOE.
  • Work with School of Education Undergraduate program director and administrative staff to ensure accuracy and consistency in communication of program requirements.
  • Assist with the planning and implementation of advising programs and outreach including new-student orientation, academic probation advising, and academic alerts.
  • Create forms and other processes to improve graduation audits and other aspects of using LOCUS to streamline office procedures.
  • Articulate and support the vision and the mission of the University.
  • Meet regularly with prospective students and their families.
  • Demonstrate flexibility and adaptability to a fast-paced, changing environment where responsibilities and duties may frequently change.
  • Represent SOE on Undergraduate Advising Council, as well as various SOE committees.
  • Some weekend and evening hours are required.
  • Other duties as assigned.

Minimum Education and/or Work Experience
Master's degree in College Student Personnel, Counseling or related field required and at least four years of internal academic advising experience.
Qualifications

  • Strong written and verbal communication skills.
  • Exceptional attention to detail and accuracy.
  • Proven problem-solving and interpersonal skills with experience providing complex, administrative support with tact and diplomacy; ability to respond to student, faculty, and others' inquiries in a timely and professional manner; sound judgment and the ability to maintain confidentiality and discretion are required.
  • Must be self-motivated with the ability to multitask effectively; able to establish and maintain strong working relationships with University personnel across academic departments.
  • Ability to multitask, prioritize responsibilities, and meet required deadlines.
  • Flexibility, adaptability, and ability to work in a changing environment.

  • Two years of college advising preferred.
Certificates/Credentials/Licenses
Master's degree in College Student Personnel, Education, Counseling or related field required and one to two years of related experience.
Computer Skills

  • Intermediate MS Word processing, MS Excel or Spreadsheets, MS PowerPoint, MS Publisher, and MS Access or Database Software.
  • Experience in Locus, Slate, and DocFinity is a plus.
