Estimated annual base pay: $21.73 (minimum) - $27.16 (midpoint) - $32.59(maximum)

If you're an Administrative Assistant, we have an exciting opportunity for you. This position Streamline daily operations; scheduling, managing correspondence, coordinating meetings, preparing reports, and maintaining documentation.

What you will be doing...

  • Acts as first point of contact; customer service responsibilities.

  • Performs transactional work in support of facility operations.

  • Places and receives purchase orders in support of facilities and/or related functions.

  • Manages incoming supplier invoicing, issue resolution and vendor support.

  • Maintains supplier list and researches new prospective suppliers for cost, quality and service benefits.

  • Acts as the CMMS (Computer Maintenance Management System) Administrator, updating the system on an as-needed basis.

  • Establishes and maintains preventive maintenance (PM) schedules and asset lists in CMMS.

  • Initiates department work orders related to customer requests and PM schedules using CMMS.

  • Establishes and maintains critical spare parts list and inventory.

  • Monitors, updates and maintains Security Badge Access System.

  • Types memos, completes filing and works with accounting and receiving to resolve any invoice or department expense errors.

  • Locates hard to find materials that relate to the facilities.

  • May provide support to other related functions such as Machine Repair, Environmental Health and Safety, etc.

What we are looking for...

  • High school diploma or equivalent

  • Minimum of 1 year clerical or administrative experience in an industrial environment, or proven organizational skills to manage high volume of multi-tasking.

  • Professionalism; the ability to work effectively with all levels of the organization as well as with external vendors.

  • Solid understanding of Woodward computer systems and MS Office software.

  • Proficient in Outlook, Word, Excel and familiarity with PowerPoint.

  • Must become the resident expert with CMMS (Currently MPulse).

  • Must be detail oriented to ensure accurate record keeping and compliance monitoring.

  • Excellent verbal and written communication skills.

  • Ability to handle heavy multiple priorities and deadlines.
