Job Summary and Responsibilities

Acentra Health is looking for a Mailroom Sorter/Administrative Support - On-site to join our growing team in Tysons/McLean, Virginia.

Job Summary:

  • As a Mailroom Sorter/Administrative Support, you play a pivotal role in the prompt and accurate retrieval and delivery of mail as well as providing administrative support to an individual.

Responsibilities:

  • Collect, review, and prepare reports, charts, and other presentation materials.
  • Screen calls and respond to routine inquiries, routing calls to appropriate parties when necessary.
  • Schedule and coordinate meetings, travel arrangements, and group activities.
  • May manage expense reporting, office supply inventory, and invoicing.
  • Proficient in utilizing software such as Microsoft Word, Excel, and PowerPoint.
  • Prepare and distribute reports or other communications.
  • Maintain files, databases, and archives of relevant records.
  • Retrieve and deliver mail to USPS, Agency location, and vendors accurately, ensuring compliance with contract requirements.
  • Follow precise instructions, double-check work each shift.
  • Manage all aspects of mail processing, including sorting, distribution, and errands for mail pickup.
  • Process incoming and outgoing mail accurately, adhering to contract requirements and guidelines.
  • Track document lifecycles and maintain supplies inventory for the mailroom.
  • Scan and organize attachments using scanning equipment.
  • Perform other duties as assigned.
  • Read, understand, and adhere to all corporate policies including policies related to HIPAA and its Privacy and Security Rules.

Qualifications

Required Qualifications/Experience:

  • High School Diploma OR GED equivalent.
  • 1+ years of Administrative Assistant experience.
  • Excellent oral and written communication skills.
  • Requires excellent organizational skills.
  • Requires attention to detail skills.
  • Must successfully complete a Level II Florida Background Check, including fingerprinting.
  • Physical requirements include regular lifting up to 50 pounds, as well as frequent walking and standing.

Preferred Qualifications/Experience:

  • Requires a minimal level of skill in utilizing independent judgment and discretion.
  • Possess strong computer skills in MS Word and Excel.
  • Demonstrate excellent oral and written communication skills.
  • Excel in organization, time management, and effective priority establishment.
  • Read, write, and follow directions accurately.
  • Work independently without direct supervision, showing self-directed capabilities.
  • Collaborate effectively with team members.
  • Exhibit dependability in production tasks.
  • Demonstrate consistent on-site attendance, fostering a positive atmosphere and emphasizing the importance of teamwork.
