We are currently seeking a detail-oriented Administrative Assistant I or II to support the Marketing area within the Jindal School of Management (JSOM). This role involves providing independent administrative and financial support to faculty, including account reconciliation, budget tracking, travel coordination, event planning, and procurement assistance. Additionally, the position supports the Marketing PhD program by assisting with student travel, recordkeeping, and job market preparation.

Administrative Assistant II, position information

Salary Range: $43,500 - $45,000, depending on experience
Minimum Education and Experience
Administrative Assistant I:
Bachelor's degree and two years office administration or project management experience or an equivalent combination of education and experience.

Administrative Assistant II:
Bachelor's degree and five years of office administration or project management experience including two years at an Administrative Assistant I level or an equivalent combination of education and experience.

  • Bachelor's degree and three years of office administration or project management experience in an academic setting
  • Strong organizational and computer skills
  • Excellent verbal and written communication skills
  • Ability to work independently and as part of a team
  • Proficiency in Microsoft Office (Excel, Word, Outlook, Teams) and Adobe
  • Experience in a higher education environment preferred


Administrative Assistant II

  • Includes all preferred qualifications listed for Administrative Assistant I
  • Six years of office administration or project management experience in an academic setting
  • Minimum of two years at the Administrative Assistant I level
  • Experience with PeopleSoft and eProcurement strongly preferred

To the extent this position requires the holder to research, work on, or have access to critical infrastructure as defined in Section 117.001(2) of the Texas Business and Commerce Code, the ability to maintain the security or integrity of the critical infrastructure is a minimum qualification to be hired and to continue to be employed in the position.
Essential Duties and Responsibilities
Administrative Assistant I

  • Provides independent administrative support to the faculty in Marketing.
  • Completes account reconciliation of monthly financial transactions in PeopleSoft to supporting documentation on faculty cost centers. Identifies incorrect or missing charges and takes appropriate action. Notifies and updates faculty on a periodic basis regarding available funds in their cost centers.
  • Assists with the planning and execution of department events, including conferences, meetings, and mixers.
  • Supports faculty and department in following University procurement business practices. This includes receiving quotes, determining appropriate purchasing methods for supplies and equipment, and using online purchasing versus the eProcurement system. Periodically reviews encumbrances and purchase orders to ensure payments are posted and encumbrances released, promoting efficient fund use.
  • Checks budgets and initiates budget journals prior to purchases or travel arrangements. Coordinates travel arrangements and reimbursements in accordance with university policies.
  • Plans and executes events and meal arrangements for faculty and their guests. Provides support for program meetings and events. Responsibilities may include creating posters and emails, arranging travel and hotel accommodations, coordinating meals, scheduling visits and itineraries, processing reimbursements, managing parking or Uber needs, providing maps, and communicating with guests. Makes conference room reservations for faculty/student events and meetings.
  • Maintains calendars and appointments, as well as room and parking reservations.
  • Performs other duties as assigned.



Administrative Assistant II
(In addition to the responsibilities listed above)

  • Assists in the day-to-day operations of the Marketing Ph.D. Program, providing academic and administrative support to the Program Director and affiliated faculty.
  • Supports Ph.D. students with matters related to budgets, travel, the job market, and more.
  • Manages student and faculty reminders and maintains records for current and former students.

Remote Work Notice
A hybrid remote work schedule may be available (currently 1-day remote weekly). Employee must be located within the Dallas/Fort Worth Metroplex area and have the ability to be on campus for work activities as scheduled and/or with 24-hour notice. Completion and approval of a UT Dallas Remote Work Agreement will be required upon employment, and use of personal computer, internet, and other standard equipment may be required. Remote work arrangements are subject to regular review and re-approval and may be canceled at any time.
