The Associate Manager, Regulatory Affairs will combine expertise in knowledge management and regulatory documentation with strong project management skills to build a robust infrastructure that supports the strategic goals of the HPC/DEB business.
The ideal candidate will partner with business leaders across multiple segments to develop document design, establish infrastructure, and build out customer support frameworks that integrate seamlessly with IFF's existing systems. In this role, the candidate will act as a cross-functional coordinator, bringing together regulatory, technical, and business teams to ensure all data and documentation related to DEB products are properly captured, stored (e.g., in SharePoint, other repositories), and easily retrievable by stakeholders. This role is pivotal in standardizing documentation practices, improving speed-to-market through better information management, and maintaining compliance with global regulatory and sustainability standards.
This role will bring together regulatory expertise, systems management, and project management skills to coordinate and drive progress in a cross-functional team effort throughout complex regulatory processes.
Responsibilities:
- Repository Management: Further refine and develop the central repository for all DEB regulatory data and information. Lead the full integration of existing files, legacy documents to ensure the DEB GRA team regularly populates and maintains organized folders for projects, compliance data, and reference materials.
- Project Workbooks: Implement and oversee the use of project workbooks for regulatory purposes for all DEB projects. Ensure that every project is documented, with up-to-date records, following best practices in project management and enabling transparency and traceability of regulatory activities.
- Customer Support Documentation: Work closely with business, commercial, and other stakeholders to create and implement regulatory based templates for post-market support plans and customer-facing documentation for new DEB products. Develop standardized documentation (e.g., user guides, compliance certificates, FAQs) for various end-use applications to ensure customers in each segment have the needed regulatory and technical support documentation.
- Certification Strategy & Support: Partner with the business and sustainability teams to evaluate, understand, and pursue relevant certification schemes for DEB products. Proactively track industry standards and work to obtain necessary certifications or approvals, ensuring our products meet or exceed market and regulatory expectations in areas like recyclability and sustainability. Provide support by preparing documentation for certification applications and maintaining records of certification compliance.
- Raw Material Master Compositions: Create and maintain a comprehensive database of raw material compositions and specifications for all materials used in the DEB platform. Since new materials are being developed for various end uses, establish a system (outside of the product lifecycle management tool, until integration into our enterprise resource management system) to house compositional, analytical, and specification data. This ensures that detailed material information is easily findable and accessible to the team for regulatory submissions, safety assessments, and future reference.
- Supplier Surveys & Sustainability Data: Conduct and coordinate with various stakeholders on supplier surveys to gather critical data on our supply chain, including information on CO footprint, life-cycle analysis (LCA), and other sustainability metrics for raw materials and components. If needed, working with procurement and sustainability teams to integrate data requirements into supplier agreements. Ensure that supplier commitments to sustainability and regulatory compliance are documented and that our value chain information can support regulatory inquiries and customer requests.
- Corporate Systems & Process Improvements: Serve as the DEB GRA point of contact for any corporate systems upgrades, digital tools, or process improvement initiatives (including AI-driven solutions) that relate to regulatory documentation and knowledge management. Evaluate new tools or processes that could improve speed-to-market for regulatory approvals and enhance our documentation quality. Lead or participate in implementing these improvements, ensuring they align with business needs and are adopted effectively by the DEB regulatory team.
- Cross-Functional Collaboration: Work with GRSLs, DEB team, project managers, R\&D scientists, Product Stewardship, and Commercial leaders to ensure alignment of documentation activities with project timelines and business objectives. Facilitate cross-functional meetings or workshops to continuously improve how documentation is created, reviewed, and utilized across the DEB program.
- Compliance and Quality Assurance: Establish policies and best practices for documentation to meet internal standards and external regulatory requirements. Regularly audit the documentation processes and records for compliance and quality assurance, identifying any gaps and taking action to address them. Provide training or guidance to team members on document management protocols and the use of systems (like SharePoint and any new tools) to maintain a high standard of data integrity.
Requirements:
- BS, Masters degree in relevant technical/scientific/business discipline and/or significant experience in regulatory affairs.
- Demonstrated success in regulatory systems management preferably in the polymer, cosmetics, personal care, material science, or biotechnology field a plus.
- Can lead, influence, and collaborate with teams in a matrix organization.
- Knowledge of relevant regulatory software, systems, data management ERP subject matter expertise is an asset.
