JOB TITLE A&F Special Projects Liaison JOB DESCRIPTION SUMMARY The A&F Special Projects Liaison serves as a strategic support role within the Division of Administration & Finance at Florida Polytechnic University. Reporting directly to the Vice President of Administration & Finance and CFO, this position is responsible for facilitating cross-functional collaboration across key operational units, including Procurement, Auxiliary Services, Finance, and Facilities. The Liaison conducts process analyses, reviews contracts, coordinates projects, and performs operational assessments to support informed decision-making and enhance administrative efficiency across the division. Responsibilities:

  • Collaborate with Procurement, Auxiliary Services, Finance, Facilities, and other A&F units to evaluate and enhance departmental processes, workflows, and service delivery.
  • Assist in the review and analysis of contracts, agreements, and vendor proposals to ensure compliance with university policies and applicable regulations.
  • Support the VP/CFO in the execution, tracking, and communication of high-impact projects across campus.
  • Conduct data collection and analysis to identify opportunities for process improvement, cost savings, and operational alignment.
  • Coordinate special initiatives and projects that advance the strategic goals of the Administration & Finance division.
  • Prepare reports, briefings, and presentations for internal and external stakeholders as directed.
  • Serve as a liaison between A&F departments and other university units to ensure consistent communication and execution of shared initiatives.
  • Monitor project timelines and deliverables, flagging any delays or issues that require leadership attention.
  • Maintain a high level of confidentiality and professionalism in handling sensitive information and administrative matters.

Minimum Qualifications:

  • JD or equivalent.
  • Experience in project management, business operations, process improvement, or administrative support in a complex organization.

Preferred Qualifications:

  • Higher education or public sector experience.
  • Familiarity with Florida state regulations, university procurement practices, and auxiliary operations.
  • Working knowledge of contract administration and performance metrics.

Knowledge, Skills & Abilities (KSA):

  • Strong analytical, organizational, and critical thinking skills.
  • Excellent interpersonal and communication skills, with the ability to work effectively across departments.
  • Ability to interpret and apply policies, procedures, and contract language.
  • Demonstrated project management abilities, including the capacity to manage multiple priorities.
  • Proficiency with Microsoft Office Suite and project tracking tools.
  • Ability to exercise sound judgment, maintain confidentiality, and operate with a high level of autonomy.

REQUIRED LICENSES, CERTIFICATIONS, AND/OR OTHER SPECIFIC REQUIREMENTS OF LAW:

  • Must possess a valid driver's license.
  • This position requires a criminal background check.
  • This position is subject to federal and state privacy regulations.

NORMAL WORK SCHEDULE: This position is salary exempt. The normal work schedule varies according to the recruiting schedule. Regular out-of-town and/or out-of-state travel is required.

TARGET HIRING SALARY: $110,000, commensurate with experience
