Assistant Manager of Facility and Administrative Support

JOB SUMMARY

Plans, manages and organizes building operations for both the George J. McMonagle (GJM) and Environmental Maintenance Services Center (EMSC) facilities, as determined by the Manager of Facility and Administrative Support, including meeting coordination and activities impacting the usage of the facilities. Oversees the assignments of facilities and clerical staff, as needed. Facilitates the management of administrative resources including expenses and technology to achieve department objectives. Ensures quality of services delivered. Encourages teamwork and compatibility and supports the goals and objectives of the District. Manages vendor contracts for both GJM and EMSC facilities. Performs other duties of a similar nature as may be required.

ESSENTIAL FUNCTIONS

- Coordinates and organizes resources (materials and people) to meet organizational needs and objectives. Ensures change and adapts processes as necessary.

- Facilitates the implementation of maintenance and meeting activities that affect both GJM and EMSC.

- Participates in facility audits and provides timely response and/or corrective action. Ensures both GJM and EMSC meet safety regulations, as assigned. Reports safety problems and makes corrective recommendations. Works with Health & Safety and Security to ensure a safe and secure environment

- Plans and participates in emergency response drills.

- Recommends priorities and general strategies for facilities planning for both GJM and EMSC.

- Develops and maintains internal standards for facilities and may lead in the overseeing, selection and provision of furnishings, fixtures and equipment.

- Determines and initiates proper action(s) for expedited work requests for the purpose of ensuring compliance with District policies, sound maintenance practices and priority of urgency of operations.

- Assists with organizing resources (materials and people) to meet organizational and objectives. Embraces change and adapts processes as necessary.

- Procures equipment, supplies and materials. Ensures that equipment and supplies are available for assignments. Ensures that work areas are maintained in neat and orderly condition. Evaluates equipment and services before acquisition.

- Provides support when administering and/or developing contracts and specifications. Maintains and updates drawings, maintenance and operation manuals for both GJM and EMSC. Manages projects and prepares specifications for bid documents, when necessary. Ensure maintenance contracts are executed, managed and adhere to District specifications, policies and guidelines.

- Supervises personnel regarding methods and procedures, as assigned. Provides coaching and mentoring, evaluating performance, administers discipline. Makes recommendations for hire, promotion and transfers.

- Maintains good relations throughout the organization, with vendors and visitors.

- Evaluates service delivery and service outputs and makes recommendations for change to ensure efficient results. Maintains quality and quantity of work. Follows up with people to expedite work completion.

- Assists with the creation and maintenance of the section's budgets, goals and objectives.

- Responds to a variety of inquiries for purposes of identifying relevant issues and recommending or implementing a plan of action.

- May serve as liaison for facilities planning and facilities projects.

- Acts as Manager of Facility and Administrative Support, as needed.

- Performs other duties of a similar nature as may be required.

MINIMUM JOB REQUIREMENTS

EDUCATION

- Candidate must possess an associate degree, preferably in Business, Management, or a closely related field.

- Equivalent combination of relevant education and experience may be substituted as outlined in the Education Equivalencies Policy.

EXPERIENCE

- Candidate must possess three (3) years of experience in providing a high level of customer service and quality in various types of work in areas such as building facilities, residential building facilities, grounds services, maintenance services or similar focus areas.

- Experience must include two (2) years of in supervising, managing and/or leading people, projects and/or processes.

OTHER REQUIREMENTS

LICENSURE AND CERTIFICATIONS

Candidate must possess a valid driver's license with a driving record in accordance with the District's acceptable guidelines.

KNOWLEDGE, SKILLS AND ABILITIES

- Candidate must possess effective written and verbal communication, organizational skills and decision-making abilities.

- Candidate must possess ability to manage projects, meet deadlines and tackle emergencies and difficult situations.

- Candidate must possess negotiation and conflict resolution skills to address issues and opportunities for improvement.

- Candidate must possess the ability to effectively plan, coordinate, establish and maintain effective working relationships and prioritize workloads based on available resources.

- Candidate must be proficient in Microsoft Office Suite, including Word, Excel, Outlook and PowerPoint.

PHYSICAL AND MENTAL REQUIREMENTS

During the course of performing the essential functions of this position, the employee must be able to compile, analyze, communicate, coordinate and instruct. Ability to communicate while exhibiting strong interpersonal skills is required. Physical work will need to be performed, such as standing, sitting, walking, hearing and talking. Ability to lift up to 25 pounds on an occasional basis. Position will require visual demands of near and far acuity and depth perception. The position is primarily office work, but the position may require occasional visits to pick up supplies and deliveries to other facilities. While performing work, the employee may be exposed to extreme weather, atmospheric conditions, vibrations, hazards and wet and/or humid weather.

Pay Range: USD, Commensurate with Experience

$65,482 - $81,854
