What You'll Do

ECS is hiring an Administrative Assistant to join our Fort Myers, FL Code Compliance team. If you have experience supporting the administrative functions of a fast-paced office, perhaps some permitting experience, and want to be part of an employee-owned company that values collaboration, this role is for you.

Primary Responsibilities:

  • Request permitting documents from clients and coordinate submissions
  • Prepare and submit permit applications on behalf of clients to local building departments and agencies
  • Registration of projects and proposals
  • Access and manage municipal portals to research permit numbers and retrieve related information
  • Support invoicing and collections tasks as needed
  • Create and manage project folders, documents, and reports - including assembly and binding
  • Format, upload, and manage documents in planning filing systems
  • Provide phone support, assist with mail delivery, and back up other admin personnel as needed
  • Perform other clerical tasks as required

What We're Looking For

  • High School Diploma or equivalent
  • Minimum 2 years administrative or clerical experience
  • Proficiency in Microsoft Word, Excel, and data entry
  • Strong organizational skills with attention to detail
  • Ability to manage multiple tasks in a deadline-driven environment

Preferred Experience/Certifications:

  • Experience in a construction or engineering firm
  • ICC Permit Intake Specialist Certification (or willingness to obtain)
  • Prior permitting experience strongly preferred
