Spacelabs is seeking a highly organized and proactive individual to join our team in a dual-capacity role that supports both our Engineering R&D team and executive leadership. This position combines the responsibilities of a Project Planner and Executive Assistant, ensuring smooth operations across engineering change orders (ECOs), equipment calibration, team logistics, and project tracking, while also providing primary administrative and organizational support to the President of Spacelabs and other senior leaders. The ideal candidate will be detail-oriented, resourceful, and comfortable working in a fast-paced, technical environment. Key duties include document management, account tracking, travel planning, meeting preparation, and handling highly confidential information. Strong written and verbal communication skills, excellent organizational abilities, and sound judgment are essential. This individual will work on diverse problems requiring evaluation of identifiable factors and will exercise discretion within defined practices and policies.

This position is 100% onsite in Snoqualmie, Washington (Monday - Friday)


Responsibilities

  • Provide administrative support to the President, and other Senior leaders within the company, which includes, but is not limited to, setting up meetings and conference calls, preparing presentations and correspondence, maintaining multiple calendars, scheduling travel, and processing visa applications.
  • Interact with Spacelabs offices worldwide, OSI corporate office, community organizations and external customers.
  • Manages agendas and hosts various department meetings, Company meetings, Company events and employee events.
  • Awareness of key individuals, departments and office locations, to provide the best customer service to both internal customers and external customers.
  • Off-site Event planning - Site selection and logistic support for annual distributor meeting held internationally, as well as various off-site local meetings.
  • Provides back-up receptionist coverage.
  • Responsible for researching, analyzing and completing all assignments and/or projects as initiated or assigned including materials needed for meetings.
  • Provide logistic support for VIP customer visits as needed.
  • Assist with special projects and all other assignments as required.
  • Project Coordination & Support for the engineering group, including assisting tracking and managing Engineering Change Orders.
  • Documentation of critical ECOs.
  • Shipping and receiving engineering equipment inter-departmentally.
  • Liaise between engineering teams and external vendors.
  • Documentation of new tools or processes related to project coordination.
  • Interface with overseas teams and manage shipment and receiving of equipment and parts as needed. (entails different procedures for different locations).
  • Support the team with sourcing parts from Spacelabs Manufacturing inventory. (involves getting approvals from relevant team members).

Qualifications

  • Bachelor's degree required.
  • 3 + years' administrative work with at least 2 years' supporting senior level executives.
  • 2+ years' experience in a project planning, coordinator, or operations support role, preferably in an engineering or technical environment.
  • Proficiency in tools such as Excel, SharePoint, and project management software (e.g., Jira, Smartsheet, or MS Project).
  • Exhibit strong work ethic with flexibility and willingness to do whatever it takes to get the job done.
  • Exhibit strong interpersonal, organizational, and communication skills.
  • Strong professionalism and discretion.
  • Demonstrated ability to use critical thinking skills and to work independently.
  • Strong organizational and time management skills.
  • Ability to manage multiple priorities and work independently.
  • Familiarity with ECO processes and engineering workflows is a plus.
