It is anticipated that an incumbent in this role will work onsite for three (3) or more days a week and will have a dedicated workspace when working onsite. Work location is subject to change based on business needs.
The Administrative Professional role is responsible for providing administrative support for the SVP, Commercial Payments Organization, and Leadership team. This support is focused on primarily performing advanced, complex, diverse, and confidential support duties and secondarily performing administrative support duties. This role requires development of thorough knowledge of unit practices, policies, programs, business and be able to act without guidance as it relates to the business and First National Bank of Omaha (fnbo). Must demonstrate tact, diplomacy, discretion, independent judgment and initiative on assignments and communications of a highly sensitive nature. May handle routine matters for the Commercial Payments Leadership team to allow concentration of effort on managing the Bank's business.
About This Role:
- Manage complex calendaring, interacting, and coordinating with internal and external partners, across multiple divisions and time zones
- Handle routine matters for the Commercial Payments Leadership team to allow concentration of effort on managing the Commercial Payments initiatives and strategies
- Provide supplementary on-the-ground coordination for the Leadership teams daily operations, as needed
- Initiates responses to correspondence as needed for Commercial Payments SVP, and Leadership team
- Schedules and coordinates meetings and facilities which may include travel and lodging arrangements
- Help organize team meetings, including preparing the agenda, organizing follow ups and related tasks etc.
- Develop and maintain positive employee and customer/client relationships
- Maintain management and leadership records as needed, adhering to banking and regulatory expectations with customer confidentiality
- Complete expense reports for leaders on a timely basis
- Complete special projects as assigned within allotted time frames and with little guidance
- Exercise a willingness to be a resource to colleagues
- Manage internal and external correspondence through emails and faxes on a timely basis
- Plan, organize and maintain SVP, Commercial Payments calendar
- Prepare and schedule meetings for the SVP, Commercial Payments as well as Leadership team (as needed)
- Participate in training and cross-training across administrative roles in other business lines to develop effective backup support
- Support an environment of collaboration with the Commercial Payments Leadership team throughout the FNBO enterprise with practices that ensure a customer-led, efficient, and innovative focus
The Ideal Candidate for This Role:
- High School diploma required; college education desired
- 3+ years of previous executive administrative experience
- Strong customer and people relationship skills
- Strong communication (oral and written) skills. Business correspondence experience required. Detail orientation, exceptional grammar, and punctuation skills.
- Must have strong organizational skills
- Ability to always maintain professional and positive image.
- Proven experience prioritizing and handling multiple projects at the same time
- Previous experience in event planning and coordination desired
- Advanced Microsoft Office skills required including; Outlook, Word, Excel, and PowerPoint.
Candidates must possess unrestricted work authorization and not require future sponsorship.
Compensation:
Compensation range (base pay): $44,341.00-$70,946.00
This role may have a specific starting pay within this range. Final compensation offer to candidate may vary from posted hiring range based upon work experience, education, and/or skill level.
