**This position is an onsite role based out of our Ontario, CA office. **

About you

Joining as an Operations Specialist, you'll work closely with the Regional Managing Director and Directors of Operations to streamline communication and operations across our California region, supporting leadership in achieving key REMS business objectives.

In this role you will

  • Ensure company initiatives, procedures, and deadlines are effectively communicated and implemented across the portfolio.

  • Follow up on outstanding property and business-level requests, working closely with Directors and Property Managers to keep tasks on track and ensure critical deadlines are met.

  • Maintain accurate records of all management agreements, amendments, and terminations in Salesforce. Ensure timely uploads via the Management Agreement Portal and perform quarterly reconciliations salesforce as needed.

  • Assist in recruiting, hiring, onboarding, and offboarding processes, including drafting business cases and administering the workflows process in Workday.

  • Monitor client deliverables to ensure all deadlines and compliance requirements are met in accordance with PMA standards.

  • Conduct Quality Assurance checks related to PMA administration, internal REMS policies, and compliance documentation (e.g., management contracts, vendor agreements, construction billing, lease files, COIs).

  • Support onboarding of new properties by collecting documentation and guiding Property Management teams through the Colliers onboarding checklist.

  • Deliver new employee orientations to ensure all hires receive REMS/client-specific training and required onboarding materials.

  • Participate in special projects and internal initiatives as assigned.

What you'll bring

  • 2+ years' experience in commercial real estate.

  • Strong organizational and time management skills, with the ability to manage multiple priorities and meet deadlines

  • Proficient in Microsoft Office (MS Outlook, MS Word, MS Excel)

Area/Location Specific: Ontario, CA

Approximate Hourly Range for this Role: $38.46/hour to $43.26/hour

Our hourly ranges are determined by role, level, and location. The range displayed on this job posting reflects the minimum and maximum target for new hire salaries for the position across all US locations. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
