GENERAL SUMMARY:

Reports to Manager- Referring Physician Office (RPO), provides leadership and direction facilitating physician and staff requests for scheduling multiple specialty services within HFHS. Responsible for all operational aspects including hiring recommendations, re-training, disciplinary recommendations and scheduling.

Maintain performance quality, adherence to schedule and quality standards as determined by Referring Physician leadership, promote staff education and development, monitor and maintain the quality of service provided to physicians and/or their staff. Assure issues are handled in a timely manner, foster and support relationships with responsible product line or departmental managers. Supports departmental recommendations for process improvements within the Department. Demonstrates a high level of competency and actively participates in continued Quality, Service Excellence and the overarching strategies of the HFHS and Network.

PRINCIPLE DUTIES AND RESPONSIBILITIES:

1. Recommends hiring, monitoring, training and discipline of staff.

2. Evaluates and monitors all staff, initiates or recommends retraining of all staff.

3. Recommend discipline of staff according to Human Resources guidelines.

4. Recommend termination when required.

5. Maintains performance standards, adherence to schedules, promote staff education and development, promotes teambuilding and employee morale.

6. Assists staff with questions and escalation of caller concerns.

7. Recommend scheduling, schedule maintenance, schedule masters and process improvements initiatives to ensure access.

8. Works collaboratively with Department to develop strategies for best scheduling practices and protocols while informing them of RPO process and services.

9. Proactively advises Manager of process improvement opportunities.

EDUCATION/EXPERIENCE REQUIRED:

  • Two years of college in business and/or related field required. Bachelor's degree preferred.
  • Two years of supervisory experience preferred.
  • Commitment to Teamwork.
  • Comprehensive understanding of the Henry Ford Appointment Scheduling System, E-TEF, Microsoft Excel, Microsoft Word, Sales Force, and Epic Intranet Web based programs preferred.
  • Comprehensive understanding of the Insurance Verification process.
  • Minimum of two years previous appointment scheduling experience.
  • Comprehensive knowledge of computer functions and applications.
  • Comprehensive knowledge of clinical process' and behaviors.
  • Base knowledge of Henry Ford HR policy/practices.
