Hybrid Position. This positon will have availability to work remotely, but will also have onsite requirements.


The Epic Application Specialist - Documentation Optimization is responsible for the implementation, technical support, optimization, and training related to patient documentation, medical dictation, and voice recognition technologies used at Group Health Cooperative of South-Central Wisconsin (GHC-SCW). This role serves as the primary liaison between GHC-SCW and third-party voice recognition vendors (e.g., Nuance, Abridge), ensuring seamless integration, functionality, and user satisfaction.


The Epic Application Specialist - Documentation Optimization will also design training curriculum and materials and deliver training programs tailored to clinical workflows to maximize end user adoption and efficiency. The Epic Application Specialist - Documentation Optimization will provide 1:1 training to end users as necessary, for providers or those that need additional support. To carry out these responsibilities, the incumbent will be required to have a detailed knowledge of GHC's software as well as an extensive familiarity with the daily operational and business needs of the organization.


This role regularly presents to provider groups and collaborates on with Epic analysts on high-impact initiatives deemed critical to the success of GHC-SCW. The Epic Application Specialist - Documentation Optimization serves under the direction, guidance and supervision of a member of the Enterprise Applications Leadership Team.




  1. Bachelor's degree from an accredited college or university in Education, Business, Health Information Technology, Computer Science, Nursing, or a related field; or equivalent professional experience required.
  2. At least one (1) year of hands-on experience using an Electronic Health Record (EHR) system.
  3. Experience training physicians or other clinical staff on Epic EHR functionalities or functioning as a Super User.
  4. Clinical or managed care background preferred.
  5. Must obtain Epic certification in the relevant Proficiency in Epic EHR and voice recognition/dictation software integration and support within six (6) months of employment.
  6. Strong troubleshooting skills in clinical systems, hardware peripherals (e.g., microphones, speech mics), and software workflows preferred.
  7. Ability to coach and mentor end users on efficient and effective voice recognition use within Epic workflows.
  8. Demonstrated ability to influence stakeholders and shift perspectives to support functional goals and improvements.
  9. Knowledge of adult learning principles and instructional design best practices.
  10. Demonstrated success in delivering technical education and customized training programs to clinical and non-clinical audiences.
  11. Excellent verbal and written communication skills; strong facilitation, presentation, and documentation abilities.
  12. Ability to stay current on, and adapt to, rapidly changing technology and business processes.
  13. Proven ability to manage multiple priorities, meet deadlines, and execute long-term projects independently.
  14. Strong organizational and planning skills with a continuous improvement mindset.
  15. Ability to influence and motivate individuals and groups toward achieving adoption and efficiency goals.
  16. Adept at conflict resolution and maintaining professionalism in high-stress or complex situations.
  17. Ability to collaborate across departments and with external vendors while maintaining excellent customer service.
  18. Knowledge of HIPAA and OSHA standards and a demonstrated ability to maintain confidentiality and comply with regulatory requirements.
  19. Ability to work extra and/or flexible hours including occasional weekends required.
  20. Ability to travel to various work sites.
  21. Ability to sit for extended periods of time.
  22. Dexterity of hands and fingers to operate a computer keyboard, mouse, and to handle other computer components.
