The Modjeski and Masters (M&M) Marketing Department is rapidly expanding and seeking a Senior Marketing Coordinator with experience in the AEC sector (Architecture, Engineering, Construction). As a key liaison among proposal, technical, and business development teams, you will drive consistency, efficiency, and best practices across all marketing submissions.
What We're Looking For
- 5+ years of proposal coordination or marketing experience in the AEC industry Required (Architecture, Engineering, Construction)
- Bachelor's degree in marketing, Technical Writing, English, Business, or related field.
- Demonstrable track record of managing complex proposals.
- Proven ability to manage multiple concurrent proposals with shifting priorities.
- Strong working knowledge of proposal tools, including Adobe Creative Suite, Deltek Vision/VantagePoint or similar, and MS365.
- Demonstrated leadership or mentorship experience within proposal teams.
- Excellent time management, organizational, and problem-solving skills.
- CPSM (or APMP) certification is a plus.
- Strong initiative, ability to work independently with minimal supervision, and to lead collaboratively within a team.
- Positive attitude and grace under pressure; constructive in receiving and providing feedback.
- Commitment to continuous improvement and professional development.
What You'll Do
- Lead the development of proposals, presentations, and marketing collateral in response to RFP/Qs and business opportunities.
- Collaborate with technical teams and subject-matter experts to gather, structure, and refine compelling content that supports a clear narrative and winning proposal theme.
- Ensure proposals align with client instructions, formatting standards, and internal style/brand guidelines, while strategically showcasing the firm's strengths and demonstrating a clear understanding of project scope and client needs.
- Plan and manage proposal schedules and review cycles by assigning tasks, setting milestones, tracking progress, gathering stakeholder feedback, maintaining version control, and producing fully quality-checked materials.
- Develop, edit, and refine persuasive written sections-executive summaries, technical approaches, staffing plans, and past-performance narratives-ensuring clarity, consistency, and alignment with brand voice and messaging.
- Coordinate with the graphics team to provide clear direction and context, ensuring visuals reinforce technical narratives.
- Maintain and expand a library of primary resumes, boilerplate content, and up-to-date project descriptions; identify gaps and drive continual improvement of standardized materials.
- Support business development activities, including capture planning, client feedback management, and CRM updates.
- Coach and support technical staff in preparing presentations and interviews, including the development of supporting materials and event collateral.
- Lead or participate in post-submission debriefs to document lessons learned, implement process improvements, and share insights that enhance proposal efficiency, quality, and consistency.
- Provide guidance and mentorship to junior proposal coordinators and assistants on best practices, processes, and workflows.
- Other duties/tasks as assigned.
