POSITION SPECIFICS

Penn State Intercollegiate Athletics, a Division I and Big Ten Conference Institution, is seeking a Coordinator of Athletic Facilities/Events for Intercollegiate Athletics venues.This position will serve Penn State Athletics Facilities and supervise part-time team members, and will be responsible for the following essential duties and responsibilities:

  • Manage procedures for athletic facility operations including facility usage, inventory, safety, and resources
  • Assist with and coordinate building set up and transition for events and daily use.
  • Collaborate with coaches, teams, and athletic department staff to coordinate event schedules and logistics
  • Coordinate and oversee building maintenance
  • Manage building access
  • Coordinate with OPP for technical staff, janitorial etc.
  • Coordinate with technical staff, janitorial staff, and grounds crew to ensure that facilities are ready for events, tournaments, practices, and clinics
  • Ensure that facilities meet University and NCAA standards for hosting event
  • Oversee the preparation of event timelines, venue setups, and resource allocation (e.g., equipment, technology, signage, etc.)
  • Serve as a point of contact for coaches, athletes, officials, vendors, media, and other key stakeholders before, during, and after events; attend events and provide on-site direction to ensure smooth operations
  • Plan, organize, and execute Division I athletic events, including home games, tournaments, special events, and seasonal competitions
  • Facility manager on duty coverage to support community programming and events held on a daily/weekly basis. Daily management requirements include developing, communicating, and supervising of front of house team member/leader duties and responsibilities, facility schedule coordination, crowd control and management of spectators and participants for all programming and events.
  • Collaborate with the marketing and communications teams to promote events and engage the university community
  • Coordinate with emergency medical services, facilities staff, and police services to execute protocols and ensure event safety
  • Assist with any maintenance projects or building conversions.
  • Oversee inventory and preventative maintenance of rental equipment.

This position will require the successful candidate to work a varied schedule that includes weekdays, weekends, evenings and holidays; schedule is based on the needs of facility, providing support for programming and events.

It is desired that the candidate has previous supervisory experience. Proficiency in Microsoft Office (including Word and Excel) is required. The ideal candidate will possess a commitment to providing exceptional customer service in a fast-paced, changing work environment. Candidate must have strong interpersonal, organizational, written and oral communication skills, the ability to multitask, prioritize and appropriately meet required deadlines.

MINIMUM EDUCATION, WORK EXPERIENCE & REQUIRED CERTIFICATIONS

If filled as Athletic Facilities Specialist - Advanced Professional, this position requires: Bachelor's Degree 3+ years of relevant experience; or an equivalent combination of education and experience accepted Required Certifications: None If filled as Athletic Facilities Specialist - Intermediate Professional, this position requires: Associate Degree 2+ years of relevant experience; or an equivalent combination of education and experience accepted Required Certifications: None

BACKGROUND CHECKS/CLEARANCES

This position requires the following clearances in addition to applicable background checks: PA State Police Criminal Background Check, PA Child Abuse History Clearance Form, and Federal (FBI) Fingerprint Criminal Background Check. This position requires that you operate a motor vehicle as a part of your job duties. A valid driver's license and successful completion of a motor vehicle records check will be required in addition to standard background checks.

SALARY & BENEFITS

The salary range for this position, including all possible grades, is $56,200.00 - $89,600.00.
