The Organization

Job Summary


The Grant and Operations Manager is responsible for managing grant accounting and reporting, and office operations. Reviews accounting transactions for potential charging against grants and ensures compliance with grantor, government, or private entities' requirements, and with appropriate rules, regulations, and/or grant provisions.


Essential Job Functions and Responsibilities



  • Reviews monthly operating expense reports for completeness, accuracy, and allowability and compliance with assigned grants.
  • Tracks and maintains all expenses, identifies expenses that are not allowable, recommends a course of action, and provides training to assist staff with accurate and timely spending and reporting.
  • Assists with the preparation of grant budgets to be reviewed and approved by the Financial Services Department.
  • Reviews general ledgers on a monthly basis and provides management with reports on remaining funding of specific grants.
  • Assists in the preparation of grant reports and private donor reports.
  • Reviews monthly invoicing to ensure it complies with contract specifications.
  • Assists the Director and Financial Services in identifying and collecting appropriate expense documentation.
  • Collaborates with vendors and funders on expense inquiries, supporting materials, expense allowability, policies, additional awards, and general inquiries.
  • Maintains information on grant closing and amounts either due to funder or reserved for future program spending.
  • Performs other related duties, as required.



Required Education, Qualifications, Experience



  • Bachelor's degree or equivalent accounting experience and commensurate work experience. Experience in grant management and oversight of financial transactions with nonprofit organizations.
  • Demonstrated fiscal management skills, including budget management, developing and maintaining appropriate internal controls, and grant administration policies and procedures.
  • Intermediate proficiency with Adobe and Microsoft Office products (Word, Excel, OneDrive, Teams).
  • Must be familiar with conducting virtual meetings, training, and observations on software such as Zoom, Teams, etc.


Preferred Education, Qualifications, Experience



  • Previous experience interacting with program support staff, donors, and/or grantors within a non-profit organization.
  • Familiarity with grants management software and databases.



Physical Requirements


Most work will take place in an office setting (whether in CILA office space or from a home office if working remotely).


This role may require visits to the offices of legal service providers or other stakeholders and/or travel for professional training and conferences.


Must be able to carry up to 20 pounds.



Extent of Travel Required in the Job


This job may require some travel less than 15% of the time as a normal course of business.
