What does a Field Administration Manager do at Swire Coca-Cola? Leads and supports a multi-site team of Field Administrators, with a focus on building long-term team capabilities, driving operational efficiency, and ensuring compliance across administrative functions. Plays a key role in coordinating efforts across multiple functions including procurement, logistics, sales coordination, facilities management, financial processing, payroll, onboarding, and audit readiness. The position plays a key role in standardizing procedures, maintaining accurate financial and employee records, and fostering alignment between local operations and broader organizational goals Acts as a key point of contact for managing escalations and collaborates with internal stakeholders to improve performance, control costs, and enhance service delivery.

Responsibilities
- Provide strategic direction, coaching, and performance oversight for a diverse team of Field Administrators, with responsibility for talent development, succession planning, and long-term team capability building.
- Oversee and optimize cross-functional administrative operations, including procurement, logistics, sales coordination, and facilities management, with authority to make decisions that improve efficiency, service levels, and cost control.
- Responsible for developing and implementing Standard Operating Procedures (SOPs) and strategic initiatives.
- Oversee local vendor relationships, contracts (including providing backup for contractual payments), and service agreements.
- Identify and resolve employee payroll issues to ensure timely and accurate compensation and pay card processing.
- Facilitate audits by organizing and delivering required financial documentation to internal governing bodies, ensuring compliance with internal financial controls and regulatory standards.
- Manage cash handling process to ensure in compliance with the company's policies and procedures.
- Drive strategic alignment between operations and timely, accurate revenue recognition.
- Monitor budget expenditures and assist with financial forecasting activities and analyzing variances to drive fiscal responsibility and performance.
- Perform month-end closing processes and prepare journal entries by compiling support and analyzing account infor-mation.
- Collaborate with sales and logistics finance partners to address financial performance and related issues.
- Ensure accurate financial records and documentation are maintained in locally assigned offices, while upholding the confidentiality and security of financial data.
- Performs other duties as assigned.
- Coordinate with logistics and procurement teams for financial processing of purchases.
- Ensure compliance with all relevant laws, regulations, and accounting standards in assigned locations following Swire's document retention policy.
- Partner with Finance Business Services (Shared Services) to resolve collections and account-related issues within designated local offices.
- Ensure accuracy across inventory, customer records, and financial reporting.
- Facilitate new hire onboarding processes, ensuring a seamless and engaging experience for all incoming employees.
- Manage and verify employment eligibility documentation, including completing and maintaining Form I-9 compliance in accordance with federal guidelines.
- Lead multi-site administrative operations, ensuring alignment with company-wide standards while adapting to local business requirements. Accountable for performance across geographically dispersed teams.
- Ensure compliance with organizational standards and function as a primary point of contact for escalated concerns from internal stakeholders and external customers.
Requirements
- High School Diploma (or GED) required
- Bachelor's Degree Accounting, Finance, Business Administration, or related field preferred
- 4+ years Progressive leadership experience with recruiting, mentoring, training, and developing a diverse team. required
- 1+ years experience in finance or administrative roles, preferably in a field setting. required
- Ability to multi-task effectively and produce accurate, timely results in a fast paced, constantly changing environment
- Experience developing and improving processes
- Strong knowledge of accounting principles and financial systems
- Proficient in MS Office, especially Excel; experience with financial software is an asset
- Ability to work independently and under pressure in a field environment
- Ability to occasionally lift up to 50 lbs
