About the Position

The purpose of this position is to provide a variety of specialized clerical and administrative support duties for Inmate Legal Services. Tasks performed are specialized including complex and/or sensitive in nature. Employees at this level receive occasional instruction or assistance as new or unusual situations arise, and may be required to interpret operating procedures and policies of the work unit to lower level staff.

Consequence for error in this position can be substantial if proper clerical support is not provided to the Inmate Legal Services Section.

Position Qualifications

Education

  • High School Diploma or GED.

Experience

  • Two (2) years of experience performing specialized clerical duties.

OR

Combined education and experience qualifications

  • Education above the high school level may be used to substitute the experience requirement on a year-for-year basis.

Other requirements

The following training will be provided on-the-job with the exception of the Arizona driver's license:

  • A valid Arizona driver's license
  • SHIELD System
  • ICIS Network
  • FEMA NIMS - IS 100 and 700
  • OSHA training
  • Workday payroll training
  • Westlaw
  • PREA training

Essential Job Tasks

(This is not an all-inclusive list of all job duties that may be required; employees will be required to perform other related duties as assigned.)

  • Composes complex and sensitive forms, letters or memorandums.
  • Prepares and processes specialized paperwork.
  • Provides information to public, other agencies and MCSO personnel.
  • Creates and manages computer database applications.
  • Compiles monthly reports/records for the Inmate Legal Services Section expenditures.
  • Maintains calendars, schedules activities and meetings.
  • Creates, updates, and maintains moderately complex spreadsheets, databases, and reports such as office expenditures, vehicle inventory, personnel rosters, property inventory, personnel files, reports for specific Inmate Legal Services; tracking and follow-up.
  • Provides customer service via telephone, email, and in person.
  • Assists in training of workflow of lower-level administrative staff.
  • Keeps track of inventory and order supplies for the Section.
  • Attends meetings, takes notes, generates reports and distributes to appropriate personnel.
  • Completes additional duties and projects assigned by supervisor.
  • Picks-up and distributes mail as required.

Knowledge, Skills, and Abilities

Knowledge of

  • Grammar, spelling and punctuation.
  • Standard office practices and procedures and data processing applications
  • Microsoft Office Suite applications.

  • Operating various machines which may include word processor and personal computer.

The hiring authority will select the successful candidate based on departmental needs.

Typically, successful candidates are hired at a salary rate, up to midpoint of the range, based on applicable experience, internal equity and budgetary allowances.
