The Division of Intercollegiate Athletics at the University of Wisconsin-Madison dedicates itself to the mission of providing athletic opportunities to a wide range of students in an environment in which all student-athletes can achieve their academic and competitive goals. The Division strives to provide equitable opportunities for all student-athletes and fosters the principles of sportsmanship, respect and fair play on the field of play. The Division sponsors teams in 23 sports competing under the regulatory guidelines established by the National Collegiate Athletic Association (NCAA), the Big Ten Conference, the Western Collegiate Hockey Association (WCHA) and the Intercollegiate Rowing Association (IRA).

Key Job Responsibilities:

Supporting Women's Basketball program operational needs in the following areas:

Team-related items:


  • Managing Team meals (catering, post-game, etc.)
  • Coordinating parking needs for staff during MBB/WHOC/MHOC games

Outreach-related items:


  • High School team ticket requests
  • Managing ball kid program
  • Assistance with events (golf outing, senior night, banquet, recruit visits, etc.)
  • Managing fan inquiries/requests

Recruiting-related items:


  • Booking recruiting travel for coaches/putting itineraries together
  • PSA data entry in ARMS & Recruiting software applications
  • Addressing mailers for recruits

Administrative support:


  • Managing Coaches' calendars
  • IT requests
  • Monitoring the phone, directing outreach to the appropriate party
  • Office inventory
  • General Support
  • Processing expense reports

  • Maintains established methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures
  • Serves as a first point of contact for individuals and groups, provides basic organizational information via phone, in person and through other communication mediums, and routes more complex inquiries to the appropriate entities
  • Sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures under general supervision
  • Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations
  • Collects, analyzes, and prepares various communication materials from established sources utilizing technology mediums

Compensation:

The pay range for this position starts at $18.40/hour, however the actual starting pay rate of the selected candidate will be negotiable depending on qualifications.

Required Qualifications:

  • Previous experience in an administrative support or similar role, with the ability to be administratively self-sufficient (managing email, communications, calendars, etc.)
  • Proficiency utilizing office software, such as MS Word and Excel, and other web-based applications.

Preferred Qualifications:

  • Ability to work cooperatively and build strong working relationships with diverse groups, including administrators, faculty, staff, students, and alumni
  • Works well both independently and in a team setting
  • Ability to be flexible in accepting new responsibilities
  • Excellent communication skills to work with student-athletes, coaches, and support staff
  • Knowledge of and experience with NCAA and Big Ten rules
  • Familiarity with Teamworks Hub and related applications

Education:

Bachelor's degree preferred

Conditions of Appointment: This is a 100% University Staff appointment. Pay rate will be assigned within the appropriate range, commensurate with the candidate's qualifications and experience.
