In the role of Field Office Administrator, we'll count on you to:
  • Represent the project owner for construction administration issues

  • Use a strong understanding of construction methods, procedures and administrative processes, excellent documentation skills and good interpersonal skills to communicate effectively with the owner / client, project management / construction management team, contractor and sub-contractors and other team members

  • Supports the construction project managers

  • Work independently as well as part of the owner's team

  • Make sure that documents are received, addressed, filed and actions taken such that the project does not experience delays

  • Assist the project manager / construction manager with letter writing, responding to RFI's, submittals, request for changes, draft task-orders, change orders, and other correspondence required for contract administration.

  • Work with project staff to lead the maintenance of project documentation

  • Process all correspondence and progress pay estimates

  • Advise the project manager and staff of project status

  • Assist the project manager in preparing monthly project reports for the client

  • Assists the construction management team in coordinating with 3rd parties, utility companies, materials testing, surveying, source inspection, construction inspection, tracking quality control test results and verifying contractor compliance to the quality control / quality assurance plan / program.

  • Support project / construction / commercial manager with research and fact-finding for contractor disputes and claims

  • Develop fact-finding reports, owners position papers and resolve disputes / claims.

This position will be based 100% on-site at the project location
Preferred Qualifications
  • Previous professional experience in the Engineering, Architecture, or Construction industry as an office administrator/manager
  • Comfortable handling confidential information
  • Experience developing internal processes and electronic filing systems
  • Prolog, Procore, Primavera, PMWeb or other document and project / program management tools
  • Associates in Engineering or Business Administration
  • Caltrans and/or City of LA experience
  • Experience with Progressive Design-build, Design Build and/or CMGC Alternate Method of DeliveryPrevious LAWA experience
  • Knowledge of LAWA Office Engineering process and procedures

Required Qualifications
  • High school diploma or equivalent
  • A minimum of 7 years related experience
  • Excellent written and verbal communication skills
  • Solid interpersonal skills
  • Strong time management skills and ability to prioritize
  • Exceptional attention to detail and organization
  • Strong problem-solving skills and analytical abilities
  • Ability to adapt to changing situations in a professional manner
  • High proficiency in Microsoft Word, Outlook, PowerPoint, Excel, Adobe, SharePoint
  • An attitude and commitment to being an active participant of our employee-owned culture is a must

The expected compensation range for this position is $69,000 - $90,000 and depends upon skills, experience, education and geographical location. (Stated benefits are for full-time regular positions. Temporary and part-time roles eligible for limited benefits.)
