Description

The Payroll Administrator supports payroll, accounting & tax department compliance for all vendor, state, local, and federal tax payments and returns. This includes bank and general ledger reconciliations, audits related to payroll transactions, and ongoing month-end, quarterly, and year-end organizational reporting. This position also provides support for the tax department, possibly including but not limited to sales & use tax compliance and various administrative functions. The role is employed by an affiliated company of Patriot Rail.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
* Reconcile and ensure accuracy of tax payments and filings (e.g., 940, 941, CT-1, DC-10, W-2, W-3, state filings, etc.)
* Maintain and reconcile daily logs for HSA, Voya, and PNC bank transactions
* Collaborate with Accounting for bank and general ledger reconciliations
* Prepare reports for audits, departmental statistics, and business support
* Respond to IRS & RRB notifications concerning tax filings
* Establish new tax authority accounts (SUTA, SIT)
* Assist with sales and use tax filings, reconciliations, and compliance activities
* Provide administrative support for the tax department, including documentation, filing, and coordination with external agencies
* Contribute to payroll process centralization, standardization, and improvement initiatives
* Maintain business process documentation for all responsible items
* Assist with additional payroll- and tax-related tasks as assigned

QUALIFICATIONS:
* Associate or Bachelor's degree in a business-related field preferred
* 3+ years of payroll tax filing experience strongly preferred
* Experience with sales and use tax compliance is a plus
* Advanced Microsoft Excel skills required
* Excellent communication and interpersonal skills
* Ability to maintain the highest level of confidentiality
* Strong attention to detail and analytical skills
* General knowledge of multi-state tax return filing, payments, and accounting principles
* Valid Driver's License

PHYSICAL DEMANDS/WORK ENVIRONMENT:
Primarily office-based, with occasional travel to railroads, facilities, warehouses, or outdoor environments. May involve sitting, standing, walking, handling objects, lifting, and occasional stooping or kneeling.
