Position Overview:

Global Professional Services is seeking an experienced Program Manager, Operations to support operational excellence, manage deliverable timelines, oversee course operations, and serve as the primary liaison between teams, as well as partners and SMEs.

This role will work closely with cross-functional teams-including creative, strategy, design, and learning teams-to ensure seamless project and course management across multiple initiatives.

As a Program Manager, Operations, you will not only oversee the lifecycle of projects and programs but also take on leadership responsibilities in refining and scaling team processes, including course management and delivery. You will play a key role in both design execution and operational efficiency.

Key Responsibilities:

  • Project and Program Management: Manage timelines, milestones, and deliverables for our projects, programs, and courses, ensuring alignment with organizational goals, timely delivery, and effective communication with all stakeholders.

  • Onsite Course Management/Operations: Attend all courses in-person to oversee operational and logistical elements of our courses, including managing timelines, resource allocation, and coordination with internal stakeholders.

  • Cross-functional Liaison: Serve as the bridge between teams, partners and SMEs, ensuring cohesive communication plans, efficient handoffs, and alignment between strategy, design, creative, and learning teams.

  • Operational Excellence: Lead operational initiatives, including streamlining processes, managing dashboards, and improving internal team workflows to enhance both project and course management efficiency. Additionally, establishing consistent tools and templates and ensuring use of both.

  • Facilitation and Support: Occasionally facilitate webinars and support the delivery of learning content, while also managing administrative tasks such as creating project plans, Slack channels, and organizing team files and archives.

  • Capacity Planning: Take ownership of capacity planning for the team, ensuring effective resource allocation and project prioritization.

  • Project Onboarding: Lead the creation and implementation of standardized project onboarding processes, including developing comprehensive starter kits, to ensure smooth and consistent setup for all team projects and programs. This involves streamlining workflows, setting up tools, and establishing clear expectations to drive efficiency from the start. Establish Asana or Smartsheet space for project/program tracking.

  • Reporting & Metrics: Ensure agreed-upon metrics and measurements are reported out regularly and support storytelling efforts by making sense of project data and results.

  • Stakeholder Engagement: Occasionally assist with stakeholder engagement and intake for new work requests, gathering preliminary information for the team to begin projects effectively.

Required Qualifications:

  • 3+ years of project management experience, preferably in a creative, consulting, or design-focused environment.

  • Proven experience managing multi-stakeholder projects from initiation through completion.

  • Strong organizational skills with the ability to manage multiple projects simultaneously.

  • Experience developing and maintaining project dashboards, managing updates, and ensuring alignment with project stakeholders.

  • Excellent written and verbal communication skills, including the ability to present and share information with senior leadership and external clients.

  • Demonstrated ability to lead teams, streamline processes, and improve operational efficiencies.

  • Local to Seattle - Must be onsite for course deliveries, which will be primarily held in the Seattle office and will occur almost weekly.

  • Ability to travel when courses are held in other locations once per quarter.

  • Degree or equivalent relevant experience required. Experience will be evaluated based on the core proficiencies for the role (e.g. extracurricular leadership roles, military experience, volunteer roles, work experience, etc.)

Preferred Qualifications and Skills:

  • Familiarity with learning design teams or experience in managing L&D workflows is a plus.

  • Experience with tools like Slack, project management software (e.g., Asana, Jira), and dashboards (e.g., Tableau, Smartsheet).

  • Ability to manage cross-functional relationships and communicate effectively with diverse teams.

  • Ability to navigate ambiguous situations and adapt to changing priorities.

Leadership Characteristics:

  • Leadership: Ability to take ownership of complex projects and drive results through cross-team collaboration.

  • Innovation: Identify and implement process improvements to increase team efficiency and project scalability.

  • Communication: Strong interpersonal skills and an ability to convey complex ideas simply and clearly.

  • Collaboration: Build and leverage relationships across departments to ensure alignment and successful project delivery.

  • Growth Mindset: A commitment to continuous improvement and learning, adapting to changing environments with agility.

  • Confidence/Charisma: This person will need to drive initiatives many times on their own and will need to lead with both team members and SMEs with confidence and compelling charisma.
