JOB SUMMARY

Under the general direction of the WRP Facilities Operations Manager, the WRP Facilities Specialist provides operational support and implements and coordinates building management procedures and space planning activities. As a member of the Baskin Engineering Facilities group and part of a team dedicated to the Westside Research Park (WPR), the incumbent utilizes general knowledge of operational functions to implement and make recommendations for new and revised procedures. The WRP Facilities Specialist oversees facilities-related operational activities and serves as a liaison with external agencies for all aspects of building management, including safety and maintenance.

APPOINTMENT INFORMATION

Budgeted Salary: $86,287.58 - $93,405.24/year. Salary commensurate with skills, qualifications and experience.
Under California law, the University of California, Santa Cruz is required to post a reasonable estimate of the compensation for this role. The salary shown above is the budgeted amount the University reasonably expects to pay and the salary extended should not exceed this posted amount.

JOB DUTIES

75% - Facilities Management

  • Serves as liaison with external agencies regarding safety, access, maintenance, remodeling, and construction activities.
  • Coordinates with multiple units throughout the organization to provide a safe and secure facilities environment.
  • Works with Physical Plant and IT Services to resolve routine maintenance issues impacting the Facility.
  • Assists in the development of space allocation plans for management review.
  • Maintains building-related plans and procedures, including access controls and security, emergency preparedness, commonly-encountered hazardous materials storage and disposal, crime prevention activities, and fire safety inspection, compliance, and reporting.
  • Serves as the first point of contact for the Westside Research Park (WRP) emergency call-out list.
  • Coordinates and assists with emergency repairs and construction activities during and after work hours, ensuring minimal disruption to building occupants.
  • Reviews and critiques documents for construction, including plans and specifications from outside consultants, to determine impact on facilities.
  • Develops and maintains the WRP facilities shop inventory.
  • Purchases supplies and equipment for the WRP Facility as needed using CruzBuy and ProCard.
  • Serves as first responder, providing communication and customer services to the occupants.
  • Maintains and updates the WRP website/intranet site, occupants' database, room labels, and building signs.
  • Provides support for the WRP Newsletters release and marketing products and services for the buildings.
  • Responsible for the coordination of WRP facilities events and point of contact during events managed by other departments, ensuring furniture moving and set up of folding tables, chairs, banners, and other equipment to support the event.
  • Applies and enforces WRP facility policies.
  • Maintains and improves the operation of the WRP receiving station.
  • Acts as the first point of contact for Campus mail services.
  • Manages service requests received from WRP occupants through the department ticketing system.
  • Visits sites to conduct field verification of problems, resolves problems when possible, and ensures the site is safe either by resolving unsafe conditions or posting signage and barricades.
  • Coordinates maintenance and repairs through the Physical Plant work order desk and Physical Plant work crews. Interfaces with Physical Plant work crews to get repair and maintenance status, updating the department ticketing system with revised information.
  • Serves as the primary "WRP Department Access Key Controller" as defined by the UCPD Access Control Policy, including programming access cards, maintaining accurate records of all access control activities, ensuring appropriate authority before issuing keys, ordering replacement keys as needed, recovering department keys from departing personnel, reporting any failure to recover access control keys to department management and UCPD, and securely storing unassigned keys in the department's UCPD-approved cabinets.
  • Conducts regular rounds to inspect areas for security, fire, and accident hazards, taking appropriate action, including reporting infractions of fire and building codes, building rules, and other building irregularities to management.
  • Acts as the primary point of contact with Environmental Health & Safety (EH&S) in coordinating and assisting inspections of Labs and regulated hazardous waste storage areas.

15% - Student Supervision

  • Hires, trains, and supervises student employees, including the building receptionist.
  • Responsible for hiring, performance management, and providing professional development opportunities.

10% - Emergency Preparedness

  • Acts as the Building Coordinator and floor monitor for the organization's emergency and disaster preparedness in assigned venues.
  • Serves as the communication liaison between the organization's service agencies and building occupants.
  • Prepares building response plans and coordinates emergency response education and planning for all building occupants.

REQUIRED QUALIFICATIONS

  • Bachelor's degree in related area and / or equivalent experience / training.
  • Thorough knowledge in the areas of building space planning, codes, capacity, security, fire safety, organization and departmental principles and procedures involved in risk assessment and evaluating risks as to likelihood and consequences.
  • Strong interpersonal skills with the ability to interact and communicate in a professional, friendly, courteous manner.
  • Strong customer service skills.
  • Effective problem-solving skills.
  • Ability to read and interpret floor plans, construction drawings, and technical manuals.
  • Working knowledge of practices and procedures relating to building and facility maintenance, physical key control, issue and electronic access control systems, such as CCure and Omnilock.

PREFERRED QUALIFICATIONS

  • Demonstrated ability to independently learn and absorb new technical and procedural information from a wide variety of sources, including self-guided searches via the internet and online courses provided by the UC Learning Center.
  • Experience supervising others.
  • Working knowledge of practices and procedures of safety and emergency preparedness.
  • Working knowledge of regulated medical waste holding areas and requirements.
  • Experience as a Facility assistant with duties connected with access control system, purchasing, safety, emergency preparedness.

SPECIAL CONDITIONS OF EMPLOYMENT

  • Selected candidate will be required to pass a pre-employment criminal history background check.

  • Must possess CPR/First Aid/AED certification or have the ability to obtain it within 60-calendar days of hire.
