YOU As the Office and Event Coordinator, you will be responsible for coordinating events across the Branch while also supporting general office operations. This role requires a proactive self-starter with exceptional multi-tasking abilities and strong communication skills, both verbal and written. A high level of professionalism, organization, and flexibility is essential for success in this position. You will plan, organize, and execute events from start to finish-managing all logistical details and serving as the primary point of contact throughout the event lifecycle to ensure smooth and successful outcomes. WHAT YOU'LL BE DOING(% of Time) Engagement (40%) Coordinate and support events across the Plant, including internal meetings, Birthday Round Table gatherings, and employee engagement events such as annual celebrations and holiday functions. Responsibilities include pre-event support such as researching and negotiating venue and catering options, purchasing meeting supplies, and preparing conference rooms. Research and negotiate venues and catering options. Order meals for meetings and meet caterers for deliveries. Provide day-of-event support to ensure smooth execution. Assist in executing all Plant engagement and recognition programs. Support post-event follow-up by gathering feedback, evaluating event effectiveness, and identifying improvements for future initiatives. Collaborate with internal stakeholders and external vendors to ensure logistics run smoothly and expectations are met. Support internal communications by preparing announcements, updating digital signage (e.g., Employee TV screens), tabletop communications, and other related messaging to promote engagement activities. Office Management (40%) Perform general office support duties, including monitoring, ordering, and stocking supplies for the office and break rooms. Respond to requests from the leadership team and assist in ensuring a well-maintained and professional office environment. Provide backup support to the Plant Admin, including answering incoming phone calls to the main line. Manage branch-wide calendars and conference room scheduling. Ensure the Plant calendar is up to date with all scheduled visitors. Coordinate office space and meeting logistics for visitor arrivals, including food and beverage arrangements, meeting room set up, and meeting materials. Ensure that welcome signs are current and appropriately displayed. Support onboarding newly hired exempt employees by ensuring office space is ready and fully equipped with nameplates, office supplies, and other essentials. Use Concur to make fiscally responsible travel arrangements (airfare, hotel, rental car) for employees, new hires, and guests. Assist with administrative tasks such as ordering business cards, creating or replacing employee badges, and maintaining accurate internal documentation. Support adherence to safety protocols and compliance standards during on-site events and meetings. Other Responsibilities (20%) Assist in the execution of special tasks and projects assigned by leadership that support Branch growth, innovation, and operational excellence. Provide cross-functional support to ensure continuity of branch operations and engagement activities, including coordination with HR, Facilities, and other departments. Relocation Relocation is not available for this position.
