Job Summary

The Herbert Wertheim College of Medicine is currently seeking a Director Program Administrator to join our team of professionals.

Duties:

  • Responsible for oversight of the day-to-day academic support operations of the Medical Degree program in the Office of Medical Education. Formulates strategies, policies and systems to direct critical academic support services for the Office of Medical Education. Works closely with the Associate Dean for Curriculum and Medical Education to provide long term direction and strategies to support the mission and vision of the medical school.
  • Directs and oversees the administrative and operational functions of the Office of Medical Education. Collaborates with senior administrators and other departments to foster the highest standards of quality, student service, and educational value in the program.
  • Develops and implements new initiatives, systems, and operating procedures for the academic support services of the College of Medicine Medical Degree program. Capitalizes on opportunities and ensures that OME is meeting the goals and objectives related to the academic mission of the College of Medicine and the university.
  • Assists in strategic planning to foster positive learning and student success and supports continuous quality improvement (CQI) including professional development for administrators and staff.
  • Provides leadership for the overall quality and compliance of the program. Ensures compliance with accreditation standards, as well as state university system and College of Medicine policies. Develops and implements policies and procedures that align with accreditation and regulatory standards.
  • Oversees and manages the Office of Medical Education budget and finances, ensuring efficient use of resources and adherence to financial guidelines. Provides reports regarding operational expenses, student costs and/or curriculum for surveys and accreditation reviews.
  • Leads and provides administrative coordination and direction to the various Office of Medical Education components to ensure efficient management of all functions.
  • Directs the medical school first, second, third, and fourth-year academic support staff.
  • Ensures that all students are correctly assigned to appropriate clinical sites for all clinical rotations, including pre-clerkship preceptorships, clerkships, and elective rotations.
  • Assists academic leadership in assuring adequate number of clinical preceptors and sites to cover educational requirements.
  • Participates in strategic and operational planning and decision-making regarding the various OME departments and programs; provides operational and policy liaison between the College of Medicine, FIU Central, and Office of Medical Education, as appropriate. Participates in departmental, division and University committees in representation of the Office of Medical Education.
  • Ensures all syllabi, book requirements, orientations to students, and all components of the curriculum management are managed effectively, in conjunction with the medical education deans.
  • Leads, manages and mentors the staff within the Office of Medical Education. Provides timely guidance and feedback to OME leadership and staff. Maintains open lines of communication with all members of the team. Ensures all components of the medical school staff are working together
  • Manages HR processes and staffing issues. Responsible for recruitment and selection, performance appraisals, scheduling, training, employee development, disciplinary actions and conflict mediation working closely with HR.
  • Collaborates with the Chief Administrative Officer and the Associate Dean of the medical school on faculty and student issues and concerns. Ensures timely notification of issues to leadership.
  • Represents OME and participates in accreditation and all regulatory agency activities, including state university system and internal FIU regulations.
  • Supports the Office of Academic Affairs and the College of Medicine with special projects.
  • Performs essential duties in emergencies such as hurricanes, storms, and/or any other university emergency closing. Is expected to be available to report to work as needed during university emergency closing with appropriate notification from a department administrator.
  • Performs other duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Minimum Qualifications

Bachelor's degree in a related field and eight (8) years of related work experience or Master's degree in a related field and six (6) years of related work experience.

Desired Qualifications

Master's degree in an appropriate area of specialization (Public or Business Administration, Education) and six years of appropriate experience; or a bachelor's degree (Public or Business Administration, Education) in an appropriate area of specialization and eight years of appropriate experience. Leadership experience highly preferred
