Position Summary:

The Accounting Clerk coordinates the submission of invoices for payment on a timely basis, monitors the proper coding of invoices, and ensures that the appropriate signatures are obtained. Posts all cash receipts, assists in all phases of the monthly billing process, types all non-resident invoices, and enters new residents into computer. This position assumes duties such as petty cash, Resident Trust reconciliation, data entry and assists with project work that is deemed appropriate.

Position Responsibilities include:

Accounts Payable

* Prepares invoices for payment with proper signatures and account codes. Follows up on any accounts payable issues.

* Manages petty cash and reconciles petty cash box weekly.

* Responsible for financial report filing.

* Manages the employee meal ticket sales.

* Assists Human Resources and Payroll with administration of campus payroll. Checks for accuracy and makes adjustments. Acts as back up for campus wide payroll. Prepares FTE and overtime comparison spreadsheets.

* Orders office supplies using on-line computer system and outside vendors.

Accounts Receivable

* Enters all ancillary charges into computer for resident's monthly statements.

* Enter all accounts receivable cash receipts into computer.

* Types in catering and other non-resident invoices into the computer.

* Assists in data entry of standard monthly charges, move-in charges and financial responsible party information for all new residents into the computer.

* Responsible for the monthly reconciliation of Resident Trust Account. Mails quarterly statements to family members.

* Assists with daily bank deposits as needed.

Qualifications

Education:

Graduation from High School or equivalent G.E.D.

Training and Experience:

One year experience in accounts payable and accounts receivable.

Job Knowledge:

Demonstrates knowledge of general office practices and procedures with an understanding of general bookkeeping. Ability to use office equipment and operate PC with knowledge of related software
